Job summary

Hall & Wilcox in Sydney is seeking an experienced Legal Assistant to join our Property & Projects team. This varied, hands-on role supports lawyers across litigation and transactional property matters, helping with practice management, client service, matter coordination and day-to-day operations.

You will manage complex diaries, coordinate workflows, assist with billing and file management, draft correspondence, and help with settlements and court-related processes.

Qualifications

  • Previous experience as a Legal Assistant or Paralegal in a similar legal support role.
  • Excellent organisational, time management and diary management skills.
  • Strong practice management and matter management experience.
  • Experience drafting correspondence, emails and letters, with initiative and a proactive approach.
  • Strong attention to detail and ability to manage large volumes of documentation and evidence.
  • Excellent interpersonal and client relationship management skills.
  • Experience with online court processes, court filing and transcript management is beneficial.
  • Ability to work autonomously and exercise sound judgement.

About The Role And Team

We have an exciting opportunity for an experienced Legal Assistant to join our Property & Projects team in Sydney. This is a varied and hands‑on role supporting lawyers across both litigation and transactional property matters.

Working closely with the team, you will play a key role in practice management, client service, matter coordination and day-to-day operations, helping to ensure matters progress smoothly and deadlines are met. The role offers genuine variety and exposure to a broad range of work, including litigation, conveyancing, settlements, document management and client engagement.

This role would suit a motivated and adaptable individual who enjoys being at the centre of a busy legal practice, takes pride in delivering exceptional support and is looking for an opportunity to broaden their experience across both litigation and transactional property matters. This role requires you to be in the office a minimum of 3 days a week.

You Will Be Responsible For:
  • managing complex diaries, calendars and critical dates for lawyers and partners;
  • coordinating team workflows and assisting with the management of paralegal resources and team rosters;
  • supporting the management of matters, including billing, trust funds, engagement agreements and fee estimates;
  • maintaining organised matter files and ensuring evidence, documents and correspondence are accurately saved and managed;
  • preparing detailed file notes, managing client communications and delivering exceptional client service;
  • drafting correspondence, emails and letters, as well as assisting with research and general administrative support;
  • assisting with the management of experts, counsel, disbursements and court-related processes;
  • supporting transactional property matters, including settlements and document preparation and
  • working proactively to support the workflow and overall effectiveness of the legal team.
About You

You will ideally have the following skills and experience:

  • previous experience as a Legal Assistant or Paralegal in a similar legal support role;
  • excellent organisational, time management and diary management skills, with the ability to manage competing priorities;
  • strong practice management and matter management experience;
  • experience drafting correspondence, emails and letters, with a willingness to learn and take initiative, be proactive, with a can‑do attitude
  • strong attention to detail and the ability to manage large volumes of documentation and evidence accurately;
  • excellent interpersonal and client relationship management skills;
  • experience using Filesite (iManage), Aderant PEXA, InfoTrack and Duties Online is preferred;
  • experience with online court processes, court filing and transcript management would be beneficial; and
  • the ability to work autonomously, exercise sound judgement and understand when in-office collaboration is needed.
