Job summary

Precise Fire is seeking an organised Invoice Administrator to support our service operations team in NSW. This hands-on role ensures jobs are invoiced accurately, scheduled, and maintained in the system from job setup through to invoicing and reporting.

You will work closely with Service, Operations, and Finance teams to keep service delivery running smoothly and to support timesheet entry and general admin tasks across multiple sites and client contracts.

Qualifications

  • Strong admin and coordination experience (service-based business preferred).
  • High attention to detail; accuracy is critical.
  • Ability to manage multiple tasks and meet deadlines.
  • Confident communication with internal and external stakeholders.

Responsibilities

  • Daily invoicing of completed service jobs (labour & materials).
  • Coordinating service jobs with technicians and Team Leaders.
  • Scheduling planned maintenance (PPM) activities with clients.
  • Setting up contracts, sites, and assets in Pronto.
  • Maintaining service database and job records.
  • Raising purchase orders and updating job information.
  • Entering service calls and creating new jobs.
  • Preparing reports and supporting exception tracking.
  • Supporting timesheet entry and general admin tasks.
  • Liaising with Accounts Receivable on remittances.
