Job summary

Birdon Group is seeking an IMS & Audit Coordinator to manage Birdon’s Integrated Management System (BIMS) and audit program from our Port Macquarie shipyard. The role ensures documents are current, accessible and compliant while supporting stakeholders across the business to improve processes and user experience.

The ideal candidate will have ISO 9001/14001/45001 experience, IT proficiency with Microsoft 365, and a track record in document control and audit coordination with external audits.

Qualifications

• Experience maintaining management systems certified to ISO 9001, ISO 14001 and/or ISO 45001.
• Training in internal auditing of management systems.
• Proficiency in Microsoft 365 applications (SharePoint, Word, Excel, Teams).
• Strong written communication skills with experience drafting/editing business documentation.
• Minimum 3 years' experience in document control, quality systems, audit coordination or similar role.
• Lead Auditor qualification in ISO 9001/14001 or ISO 45001.
• Experience using audit/compliance software (e.g., Rapid Auditor).
• Experience supporting external certification audits.

Responsibilities

• Act as custodian of Birdon's Integrated Management System (BIMS), ensuring current, accessible and compliant documentation.
• Manage the full document lifecycle for BIMS documentation with version control and publishing.
• Engage with internal stakeholders to understand needs and improve documentation and user experience.
• Develop and coordinate internal/external audit programs, scheduling, allocation, preparation and reporting.
• Conduct audits and support the auditor team to verify compliance and identify improvements.
• Maintain audit and management system records, provide management reporting and train BIMS users.

Position Overview

The IMS & Audit Coordinator is responsible for the administration, maintenance, continuous improvement, and user experience of the Birdon’s Integrated Management System (BIMS). The role ensures controlled documents remain current, accessible, and compliant with company and certification requirements while coordinating the internal and external audit program. The position acts as the primary custodian of the IMS, supporting stakeholders across the business to develop, review, maintain and improve management system documentation and processes.

Key Accountabilities:

• Act as the custodian of the Birdon’s Integrated Management System, ensuring the BIMS remains current, effective, accessible and aligned with business and certification requirements.
• Manage the full document lifecycle for BIMS documentation, including document creation, review, approval, numbering, version control, publication, archiving and compliance with company document control requirements and style guidelines.
• Engage withinternal stakeholders to understand business needs and support the development and continual improvement of management system documentation, processes and user experience.
• Develop, maintain and coordinate the Company's internal and external audit program, including audit scheduling, auditor allocation, audit preparation, stakeholder coordination and audit reporting.
• Conduct audits and support the auditor team to verify compliance with management system requirements, identify improvement opportunities and maintain organisational certification and assurance objectives.
• Maintain accurate audit and management system records within designated systems, monitor document review and audit action due dates, provide management reporting, deliver BIMS user training, and ensure sufficient internal auditor capability is maintained across the organisation.

Qualifications, Experience and Skills

Experience maintaining management systems certified to standards such as ISO 9001, ISO 14001 and/or ISO 45001.

Training in internal auditing of management systems.

Proficiency in Microsoft 365 applications, including SharePoint, Word, Excel and Teams.

• Strong written communication skills with demonstrated experience drafting and editing business documentation.
• Minimum 3 years' experience in a document control, quality systems, management systems, audit coordination or similar role.
