Job summary

Victorian Hospitality Group is seeking a motivated Function & Events Coordinator in Melbourne to manage enquiries through to delivered events. You will grow function revenue while delivering exceptional customer experiences in pubs and hospitality venues.

Join a team that values hands-on hospitality, strong organisation, and proactive sales. The role involves frequent client meetings, venue inspections, and collaboration with venue managers to plan food, beverages, and setup for diverse events.

Qualifications

• Experience in functions, events, hospitality, sales or venue coordination.
• Strong written and verbal communication skills.
• Excellent organisational skills and attention to detail.
• Confident speaking with customers and converting enquiries into bookings.
• Ability to manage multiple functions and enquiries concurrently.
• Ability to work independently while communicating effectively with venue management.
• Proficient with Word, Excel and Canva or similar tools.
• Experience with social media platforms including Facebook and Instagram.

Responsibilities

• Manage all incoming function and event enquiries from initial contact to booking.
• Respond to enquiries quickly and professionally via phone, email and online platforms.
• Convert enquiries into confirmed bookings and follow up potential customers.
• Conduct venue inspections and meetings with prospective clients.
• Help plan functions including food, beverage, room setup and event requirements.
• Prepare function proposals, packages and booking information.
• Maintain function calendars, deposits and booking details.
• Communicate event requirements clearly with venue managers, kitchen teams and staff.
• Ensure functions are handed over to the venue operations team prior to the event.
• Follow up customers after functions to encourage repeat business.
• Build relationships with local businesses and community groups to grow revenue.
• Identify opportunities to increase function and event revenue.
• Assist in developing and promoting function packages (birthdays, engagements, corporate events, Christmas parties, etc.).
• Keep function information across websites and platforms accurate and up to date.
• Assist with social media and marketing content related to functions and events.
• Track enquiries, conversions and function revenue, reporting results.

An exciting opportunity exists for a motivated and highly organised Function & Events Coordinator to join our team

This is a hands-on role for someone who loves hospitality, enjoys dealing with people and knows how to turn an enquiry into a successful event.

You’ll be responsible for managing function enquiries and bookings from the initial conversation right through to the event, while actively helping us grow function revenue

About You

• Previous experience in functions, events, hospitality, sales or venue coordination
• A strong understanding of pubs, restaurants or hospitality venues
• Excellent written and verbal communication skills
• Strong organisational skills and attention to detail
• Confidence speaking with customers and converting enquiries into bookings
• Ability to manage multiple functions and enquiries at the same time
• Ability to work independently while communicating effectively with venue management
• Basic knowledge of Word, Excel, Canva or similar programs
• Experience with social media platforms including Facebook and Instagram
• A proactive attitude — we want someone who looks for opportunities rather than waiting for the phone to ring
• Most importantly, you’ll understand that great functions are about both the customer experience and generating revenue for the venue
