Job summary

Legacy Club Services, a prominent Australian charity supporting veterans’ families, seeks a Finance Officer in Sydney CBD. This full-time role reports to the Finance Manager and centers on accounts payable, vendor records, weekly payment runs, reconciliations and petty cash management.

You will work closely with the Finance team and other departments to ensure accurate financial records, timely payments and adherence to internal controls.

Qualifications

• Experience in not-for-profit, charity, community services, or veterans’ support sectors preferred.
• CPA or CA qualification completed or in progress preferred.
• Familiarity with donation processing, audit trails and internal controls desirable.

Responsibilities

• Check, verify and process incoming invoices and claims for payment.
• Maintain vendor records and follow up on outstanding invoices.
• Prepare weekly payment runs and remittances; support audit in documenting transactions.
• Maintain accurate financial records, reconciliations and filing systems.
• Support internal control processes, external audits and general finance procedures.
• Manage petty cash and reimbursements, including reconciliations.
• Assist with donation processing and ad hoc finance tasks as required.

Legacy is an iconic Australian charity dedicated to supporting veterans’ families. Since 1923, Legacy has provided social, financial and emotional support to the partners, children and dependants of veterans who have lost their lives or health as a result of their service to our country.

About the Role

We are seeking a detail-focused Finance Officer to support accurate and efficient financial operations across Legacy Club Services. Reporting to the Finance Manager, this full-time role is responsible for accounts payable processing, vendor records, weekly payment cycles, reconciliations, petty cash and general finance administration.

You will work closely with the Finance team, other departments, contributing Legacy clubs, vendors and stakeholders to ensure invoices, payments and financial records are processed accurately, on time and in line with internal controls and financial procedures.

Key Responsibilities (Including but not limited to)

• Check, distribute, process and verify incoming tax invoices and claims for payment.
• Maintain vendor records, including bank details, and follow up outstanding invoices.
• Prepare and process weekly payment runs, including records for audit, remittances to vendors and follow-up of rejected payments.
• Maintain accurate financial records, reconciliations, filing and archiving systems.
• Support internal control processes, external audits and general finance procedures.
• Manage central office petty cash, including reimbursements, reconciliations and regular top-ups.
• Assist with donation processing and other ad hoc finance-related tasks as required.

Knowledge/Experience of Business Central

Highly Regarded

• Experience working in a not-for-profit, charity, community services, aged care, health, disability or veterans’ support organisation.
• CPA or CA qualification, completed or in progress.
• Experience with donation processing, finance system improvements, process review or change management.
