Job summary

Queensland Corrective Services – Brisbane is seeking an Executive Services Support Officer to manage ministerial and executive correspondence, ensuring quality and adherence to style guidelines. The role requires monitoring confidential material, coordinating with MINCOR, and providing support across the Office of the Commissioner.

  • Demonstrated experience in managing high volumes of incoming and outgoing correspondence, including editing and quality assurance.
  • Strong written communication and interpersonal skills, with ability to liaise with stakeholders at all levels, including senior/executive managers on sensitive issues.
  • Ability to work both in a team and autonomously, using initiative to set work priorities and meet deadlines.
  • Exceptional organisational skills and ability to operate in a high-pressure, rapidly changing environment.

Responsibilities

  • Process ministerial and executive correspondence through the MINCOR system, including allocations, hard copy preparations and finalisations.
  • Undertake quality assurance of ministerial and executive correspondence to ensure alignment with style guide requirements for form, punctuation and grammar.
  • Establish and maintain systems for confidential management of hard copy correspondence.
  • Maintain follow up systems within the Office of the Commissioner to ensure timely finalisation of correspondence.
  • Mail all finalised correspondence.
  • Provide technical support to MINCOR users across the organisation as required.
  • Assist with administrative duties for the business unit as required.
  • Undertake specific work activities or projects as requested by the manager.
  • Utilise high level communication skills, both written and verbal, including the ability to communicate effectively within a multidisciplinary work environment.

Within the context of the role accountabilities described in About the Role, the most suitable applicant will demonstrate their applied knowledge, skills and experiences against these essential role requirements of the Individual Contributor leadership stream:

  • Demonstrated experience in managing high volumes of incoming and outgoing correspondence, including editing and quality assurance
  • Strong written communication and interpersonal skills including the ability to liaise with stakeholders at all levels of the organisation including senior/executive level managers on sensitive and confidential issues
  • Ability to work both in a team and autonomously, and use initiative in the absence of decision-makers to establish work priorities and meet deadlines
  • Exceptional organisational skills and the ability to work within a high pressure, rapidly changing environment.
The primary accountabilities of the Executive Services Support Officer include:
