Job summary

Chubb is seeking an Executive Assistant to provide high-level administrative support to senior leaders in Sydney. You will manage diaries, coordinate meetings and travel, and handle confidential information with discretion.

The role requires 5–10 years of experience supporting senior management, strong communication skills, and the ability to work autonomously while maintaining priorities and professionalism.

Qualifications

  • 5–10 years of experience supporting senior management or executive leaders.
  • Strong interpersonal, communication and negotiation skills.
  • Ability to work autonomously, use initiative and manage competing priorities with discretion.
  • Strong organisational and administrative skills, with excellent attention to detail.
  • Confidence liaising with senior executives and working under pressure.

Responsibilities

  • Provide proactive executive support, including diary management, meeting coordination, travel arrangements and daily scheduling.
  • Manage emails, correspondence, reports and presentations with a high level of accuracy and confidentiality.
  • Keep leaders on track by monitoring deadlines, preparing documentation and ensuring key tasks are actioned in a timely way.
  • Coordinate internal and external meetings, business functions, conferences and stakeholder engagements.
  • Respond to enquiries from internal and external stakeholders, escalating matters appropriately and exercising sound judgement when required.
  • Support expense processing, leave administration and other general office duties.
  • Maintain organised filing systems and ensure information is kept up to date and accessible.

Job description

This Executive Assistant role provides high-level administrative and day-to-day support to ensure the smooth and efficient running of the office and support for senior leaders.

You’ll play a key role in keeping priorities on track, managing confidential information with discretion, and ensuring deadlines, meetings and commitments are well coordinated. This is a fast-paced role that requires strong judgement, professionalism and the ability to work autonomously while building trusted relationships across the business.

In this role, you will:
  • Provide proactive executive support, including diary management, meeting coordination, travel arrangements and daily scheduling
