Gartner is seeking an Events Coordinator to join the global event operations team in Sydney. You will support flawless Conference delivery from planning through on-site wrap-up and assist with venue management, staff coordination, budgets and forecasts.

The role suits fresh graduates or those with 1–2 years of events experience. You’ll collaborate across teams to deliver exceptional conference experiences and travel to conferences as needed.

Qualifications

  • A relevant qualification in Events Management, Hospitality, Business, Marketing or a related field preferred.
  • Fresh graduates with an interest in building a career in events are encouraged to apply.
  • 1–2 years of relevant experience in events, conferences or hospitality is advantageous.

Responsibilities

  • Support flawless delivery of Conferences as part of the global event operations team.
  • Plan, organize, and execute event logistics from development through on-site wrap-up.
  • Assist with venue management including rooms, facilities, F&B and housing.
  • Collaborate across Conference Production teams to ensure seamless delivery of events and strategies.
  • Manage shipment of freight to onsite conferences and arrange temporary staff onsite.
  • Assist with conference budgets, forecasts and expense management.
  • Contribute to VIP member experiences and exclusive program deliverables within a Destination Conference.
  • Support overall event budgets, including preparation, negotiations and monthly forecasts.

  • Plan, organize, and execute event logistics with guidance from Conference Manager frominitial stages of development, through on-site and conference wrap-up.
  • Support Conference Manager with venue management including but not limited torooms, meeting facilities, F&B and housing.
  • Communication and collaboration across Conference Production cross-functional teamsto ensure seamless delivery of first-class events and experiences, and awareness of eventstrategies.
  • Manage the shipment of all freight to onsite conferences.
  • Book and arrange for the temporary staff to support the event and manage them onsite.
  • Supporting the Conference Manager on conference budgets with direct responsibility forsome line items and helping produce accurate monthly forecasts and manage expenseseffectively.
  • Leadership and execution of VIP member experiences, business unit and segmentedprogram deliverables within a Destination Conference.
  • Overall responsibility for event budgets for Exclusive Member Experiences activities. This includespreparation, negotiations, accurate monthly forecasts. Alert management for risks andrecommendations for corrective action.
  • Actively participate in the process of reviewing, enhancing and executing event featuresand programs, analyzing attendee feedback to ensure we are delivering exceptional,relevant event experiences.
  • Follow standard operating procedures in line with the global standards.
  • Be a key member of the global event operations team - build effective relationships withpeers in all regions, take and share best practices to continuously raise the level of ourevents across the world.
  • Ability to travel approximately 15% to attend Gartner Conferences, both domestic and regional

  • A relevant qualification in Events Management, Hospitality, Business, Marketing or a related field is preferred. Fresh graduates with a genuine interest in building a career in events are encouraged to apply.
  • Alternatively, 1-2 years of relevant experience in events, conferences, hospitality or a related environment would be advantageous.
