Job summary

Benmax Pty, a leading Australian mechanical and HVAC services provider, invites an experienced transport planner to build and run our internal domestic transport desk. You will shape how we move large, oversized loads from fabrication to project sites.

You will coordinate carriers, plan loads, manage permits, and align with site teams to ensure timely deliveries while meeting CoR/HVNL requirements. This pivotal role reports to the Logistics Manager and supports the wider team as volumes grow.

Qualifications

• Experience coordinating transport, freight or deliveries, including carrier bookings.
• Proven track record scheduling deliveries into sites or tight customer windows.
• Knowledge of Chain of Responsibility obligations and load restraint; CoR/HVNL training.
• Experience setting up transport processes from scratch.
• Understanding heavy vehicle types and what they can handle.
• Strong spreadsheet and reporting skills with accurate documentation.
• Experience with oversize/over-mass or project cargo, including permits and escorts.
• Experience handing off to freight forwarders for export.
• Experience with a Transport Management System (TMS) or ERP.
• Qualification in transport or logistics, or SCLAA membership.
• WHS awareness in transport or warehousing.

Responsibilities

• Plan and book outbound movements from manufacturing to project sites, pairing loads with trucks.
• Coordinate carriers and heavy-haulage providers, including bookings, rates and performance.
• Lock in delivery windows with project teams and site access.
• Manage load plans, lifting and restraint with warehouse before each move.
• Organise permits, route planning, curfews and escorts; verify carrier insurance.
• Track loads in transit and communicate delays to site teams and stakeholders.
• Maintain consignment notes, proofs of delivery and delivery records.
• Report on delivery performance and costs, feed data into S&OP planning.
• Draft clear instructions for carriers and site teams to scale the desk.
• Support wider logistics team as volumes ramp up.

For 40 years, Benmax has delivered the mechanical and HVAC services inside some of Australia's most demanding buildings, from hospitals and schools to the data centres powering the country's AI growth. We're a team of more than 250 people across Australia, and our in-house fabrication division builds the large-scale equipment that goes into these projects.

That equipment is big, heavy and often oversize or over-mass. Each unit heads straight into a live installation program, where a missed delivery window can bring work on site to a halt. As our fabrication work grows, we're setting up a dedicated domestic transport desk for the first time, and we need someone to build it and run it.

About the role

You'll have the chance to shape how transport works at Benmax. You'll put together the carrier panel, rate arrangements, booking process, delivery paperwork and Chain of Responsibility practices, then take ownership of it all day to day.

Carriers and heavy-haulage providers handle the driving, and our warehouse and staging crew look after loading. You'll be the one planning each movement, getting the right people and equipment lined up, and keeping everyone on the same page from dispatch to delivery. You'll report to our Logistics Manager.

What you'll be doing

• Planning and booking outbound movements from our manufacturing and staging sites to project sites, matching the right truck and trailer to each load
• Managing carriers and heavy-haulage providers, including bookings, rates, service performance and sorting out issues as they come up
• Working with our project delivery and installation teams to lock in delivery windows and site access
• Coordinating load plans, lifting and restraint requirements with warehouse and staging ahead of each movement
• Organising oversize and over-mass permits, route planning, curfews and pilot or escort vehicles, and checking carrier accreditation and insurance before anyone is engaged
• Tracking loads in transit, managing delays and keeping site teams and the business in the loop
• Keeping consignment notes, proofs of delivery and delivery records accurate in our system
• Reporting on delivery performance and cost per movement, and feeding lead times and transport constraints into our S&OP planning
• Writing clear instructions and procedures for carriers and site teams so the desk can grow with us
• Lending a hand across the wider logistics team while volumes ramp up

What you'll bring

• Experience coordinating transport, freight or deliveries, including booking and managing carriers
• A track record of scheduling deliveries into sites, projects or tight customer windows when the pressure is on
• Working knowledge of Chain of Responsibility obligations and load restraint, plus CoR or HVNL training
• Experience setting up transport or delivery processes from scratch (or close to it)
• Understanding of heavy vehicle and trailer types (low loaders, drop decks, extendables, tautliners) and what each can handle
• Strong spreadsheet and reporting skills, and a sharp eye for accurate documentation
• Oversize/over-mass, heavy-haulage or project cargo experience, including permits, route planning and escorts
• Experience handing off to freight forwarders for export
• Time on a transport management system (TMS) or ERP
• A qualification in transport or logistics, or SCLAA membership
• WHS awareness in a transport or warehousing environment
