Job summary

Liebherr-Australia Pty Ltd is seeking a hands-on administrator to support facilities maintenance and day-to-day operations in Mount Thorley, NSW. You will partner with internal teams to ensure timely execution of key administrative functions for the facilities.

Responsibilities include coordinating facilities management, asset records, CAPEX tracking, AP support, and fleet coordination, while supporting expense claims and timesheet processing.

Qualifications

  • Certificate IV in Business Administration is required or at least 3 years of administration experience.
  • Exposure to invoicing, raising CAPEX and Accounts Payable.
  • High attention to detail and effective communication with stakeholders.
  • Ability to handle multiple tasks and complete to a high standard in a timely manner.
  • Exceptional customer service skills and attention to detail.

Responsibilities

  • Coordinate facilities management, including maintenance, security systems, and site services.
  • Manage fixed assets, including asset allocation, records, and annual stocktakes.
  • Support CAPEX processes – tracking budgets, raising requests, and approvals.
  • Provide Accounts Payable support (Doxis, supplier setup, reconciliations).
  • Maintain the motor vehicle register, including fleet tracking, audits, and insurer liaison.
  • Oversee office supplies and general branch administration.
  • Assist with expense claims, travel allowances, and timesheet processing.
  • Support Who’s On Location (WOL) management and contribute to the HSE committee.
  • Provide ad-hoc support to the Commercial and Service Administration teams.

Job description

Reporting to the Commercial Supervisor, is a hands-on role where you’ll partner with internal teams and stakeholders to ensure smooth day-to-day operations, strong coordination, and timely execution of key administrative functions supporting the facilities maintenance.

Key Responsibilities

About You
