Job summary

Glencore operates at Hail Creek Open Cut and seeks an experienced Administrator for the CHPP team. You will handle administrative and coordination tasks across the department, manage competing priorities, and support onboarding, training, travel, and procurement processes.

You’ll work with HR, IT, Finance and Procurement to keep systems accurate, maintain records and enable smooth day-to-day operations in a busy mining environment.

Qualifications

  • Strong organisational and time-management skills with the ability to manage multiple priorities.
  • Proactive approach and the ability to work autonomously.
  • Strong communication and interpersonal skills with employees, contractors and management.
  • High attention to detail and accuracy; MS Office skills.
  • Experience using SAP and Workday, or similar business systems.
  • Experience with purchasing, contractor administration, training coordination or workforce administration would be advantageous.
  • Minimum of one year relevant experience.

Responsibilities

  • Provide day-to-day administrative support to CHPP Manager, Superintendents, Supervisors and CHPP team.
  • Coordinate contractor onboarding/offboarding, inductions, site access and accommodation.
  • Support Service Day/Shutdown activities, including contractor mobilisation and accommodation coordination.
  • Raise purchase requisitions, process service entries and assist with invoices and cost admin.
  • Coordinate training requirements and maintain records; arrange travel for staff and visitors.
  • Liaise with HR, Training, IT, Finance, Procurement to support CHPP needs.
  • Coordinate meetings, take minutes and follow up actions; maintain records and filing systems.
  • Provide document control and SAP administrative support; assist with onboarding and payroll tasks.

Job Description

An exciting opportunity has become available for an experienced Administrator to join our CHPP team. Reporting to the CHPP Maintenance Superintendent, this is a fast-paced and varied role providing administrative and coordination support across the CHPP department.

No two days are the same, and you will need to be comfortable managing competing priorities, responding to changing operational requirements and working with a wide range of stakeholders.

Your key responsibilities will include:

  • Providing day-to-day administrative support to the CHPP Manager, Superintendents, Supervisors and wider CHPP team.
  • Coordinating contractor onboarding and offboarding, including inductions, training, site access and accommodation requirements.
  • Supporting Service Day and Shutdown activities, including contractor mobilisation, training and accommodation coordination.
  • Raising purchase requisitions, processing Service Entry Sheets and assisting with purchasing, invoices and other cost administration.
  • Coordinating employee and contractor training requirements and maintaining associated records.
  • Arranging travel and accommodation for employees, contractors and visitors as required.
  • Liaising with HR, Training, IT, Finance, Procurement and other departments to support CHPP requirements.
  • Coordinating meetings, taking minutes and following up actions as required.
  • Maintaining electronic records, documentation, registers and filing systems.
  • Providing document control and SAP administrative support.
  • Assisting with employee onboarding, system access, payroll and general workforce administration.
  • Completing operational and departmental reporting and administrative tasks as required.
  • Providing responsive support for a wide range of ad hoc requests and changing priorities across the CHPP.

About the Candidate

The successful candidate will be an organised and adaptable administrator who enjoys working in a busy operational environment and is comfortable managing a varied workload.

You will bring:

  • Previous experience in an administration or coordination role, preferably within mining, maintenance or another operational environment.
  • Strong organisational and time-management skills with the ability to manage multiple competing priorities.
  • A proactive approach and the ability to work autonomously and use initiative.
  • Strong communication and interpersonal skills with the ability to work effectively with employees, contractors, management and external stakeholders.
  • High attention to detail and accuracy.
  • Strong computer skills, including Microsoft Office applications.
  • Experience using SAP and Workday, or similar business systems.
  • Experience with purchasing, contractor administration, training coordination or workforce administration would be advantageous.
  • The ability to adapt quickly to changing requirements and confidently manage ad hoc requests.
  • A strong commitment to safety and working collaboratively as part of the CHPP team.
  • Minimum of one year relevant experience

Commercial Flight Support is available per written request for senior staff members and above, for flights from Mackay (MKY) to Brisbane (BNE) return.
