Job summary

The Y Community School in Melbourne, VIC is seeking a Campus Administrator (part-time 0.8 FTE) to be the welcoming face of the campus, handling reception, admin tasks, and coordination with staff and families.

You will maintain records in the school management system, support finance duties, organise events and excursions, and assist with health and safety responsibilities, including First Aid.

Qualifications

  • Must have WWCC or ability to obtain
  • National police check dated within last 6 months (and international check if lived overseas in last 5 years)
  • Current Level 2 First Aid and CPR recommended prior to appointment

Responsibilities

  • Welcome and assist students, families, visitors at campus reception.
  • Maintain accurate student and campus records in the school management system.
  • Provide general administrative support to the school and leadership team; assist with events and excursions.
  • Financial administration including payments, invoicing, banking, etc.
  • Campus First Aid Officer duties—maintaining supplies, recording incidents, supervising student medications.

Job Description

Are you an organised, friendly, and proactive administrator who enjoys being the welcoming face of an organisation? Do you thrive in a role where no two days are the same and your work directly supports young people and their families?

We're looking for a Campus Administrator to join our vibrant community school team on a part-time basis (0.8 FTE). This role is perfect for someone who enjoys a mix of front-of-house reception, administration, and collaboration with a passionate school team.

About us

The Y Community School was established in 2024 to respond to the needs of young people who are disengaged or at significant risk of disengaging from mainstream education. The school is part of Y Whittlesea, a not-for-profit that happens to be part of the oldest youth organisation in the world (YMCA), where all profits go back into our communities. Our senior campus in Epping crafts a safe and inclusive learning environment for young people in years 10-12 who may have faced disengagement from education. And we're growing, with a junior school campus for year 7-9 students, opening in January 2027. We're all about providing support, services, and programs to empower students to achieve their goals.

About the role

As the Campus Administrator, you'll be the first point of contact for our school community, creating a warm and professional environment for students, families, visitors, and staff. You'll ensure the smooth day-to-day running of the campus through a range of administrative, communication, finance, and support tasks. You'll also have the opportunity to take initiative, contribute ideas, and support events and activities that enrich the school experience.

Key responsibilities include:

Front of House Duties
  • Welcome and assist students, families, visitors, and contractors at the campus reception.
  • Coordinate visitor sign-in and sign-out processes, including late arrivals and early student departures.
  • Manage student enrolment enquiries, school tours and coordinate enrolment interviews.
Administrative/Finance Support
  • Maintain accurate student and campus records in the school management system.
  • Provide general administrative support to the school and leadership team.
  • Financial administration including managing payments, invoicing, banking, etc.
  • Manage office supplies and assist with logistical organising excursions, events, and activities.
  • Campus First Aid Officer duties — maintaining first aid supplies, recording incidents, and supervising administration of student medication.
Teamwork & Communication
  • Work collaboratively with teachers, educational youth workers, school leadership, and support services.
  • Communicate professionally with students, families, and staff.
  • Maintain confidentiality and follow school policies and procedures.
  • Contribute ideas to improve administrative processes and campus operations.

What you'll need
  • A current Employee Working with Children Check (or ability to obtain)
  • National police check dated in the last 6 months (and an international police check if you've lived/worked overseas in the past 5 years).
  • Current level 2 First Aid and CPR is recommended prior to appointment (if possible).
  • Knowledge of the purpose and context of the Y Community School and the community it serves.
  • Experience working with the diverse needs of young people and those from diverse backgrounds, abilities and additional needs.
  • Experience in a front-of-house position or administrative role.
  • Previous experience in the school system is desirable but not essential.
