Job description

Build the foundations of a once-in-a-generation AI-native company

monō ai exists to make organisations AI-native — so people and businesses can achieve what was never possible before. The gap between AI-native companies at the frontier and the rest of the market is not primarily a technology gap. It is an operating-model gap. Most organisations need to fundamentally rewire how they work, decide and deliver.

This is what we are building monō ai to do. We sit inside client teams, build real systems on their infrastructure and prove value in weeks - not with a roadmap, but with working capability.

We are looking for an experienced, hands-on operator to join us in Australia and help build the foundations of the company itself.

The role

As Business Operations Manager, you will run and improve the day-to-day operating systems of monō ai across people operations, revenue and commercial operations, internal technology and systems, and finance support. This is a broad, practical role: you will keep important workflows working reliably while finding better ways to run them as the business grows.

You will move between the big picture and the detail. One day you may be making a new starter's onboarding seamless; the next you may be redesigning a core internal process into an AI-first, repeatable playbook. You will own agreed priorities end to end, work closely with the people accountable for decisions in each area, and know when to bring in specialist support. You are not expected to be a COO or a proxy for the CEO's Chief of Staff.

What you will do

The remit spans the areas below. You will agree priorities with the COO and work with the relevant leads on decisions that sit with their teams.

People operations and team enablement
  • Coordinate and improve hiring operations, from role briefs and candidate processes through interviews, references, offers and onboarding, in partnership with hiring managers and leadership.
  • Own the operational experience of joining, moving within and leaving the company, ensuring people, information, equipment and access are ready at the right time; maintaining an awesome employee experience throughout.
  • Maintain accurate people records, documentation, policies and onboarding materials; identify gaps and work with the appropriate owners to address them.
  • Coordinate team rhythms, meetings, offsites, travel and internal communications where needed.
  • Identify and remove recurring blockers so the team can do its best work.
  • Design and implement AI-powered workflows to improve key people processes where practical and appropriate.
  • Contribute to a culture of ownership, care, speed and continuous improvement.
Technology and systems operations
  • Become a capable user of monō ai's platform, understand our internal systems landscape and work with leadership to improve how our tools and AI-powered workflows support the business.
  • Coordinate IT setup for new starters, including devices, accounts, access permissions and core software.
  • Maintain accurate records of hardware, software, licences, users and access rights.
  • Administer and improve the internal tools that help the team work securely and effectively, applying sensible access and documentation practices.
  • Triage day-to-day technology issues, resolve practical problems and elevate specialist matters appropriately.

This is internal systems administration and first-line support, not a specialist engineering or cybersecurity role. You do not need to be an IT specialist, but you should be comfortable learning new systems, managing access carefully and helping solve practical problems.

Revenue and commercial operations
  • Keep CRM, pipeline and opportunity information accurate and useful; coordinate opportunity tracking, meeting preparation and follow-up with the GTM team as required. This includes holding the GTM team accountable for their own data quality.
  • Coordinate proposals, statements of work, order forms and client onboarding so the relevant people, information and approvals come together on time.
  • Track commitments, next steps and commercial actions, following through so nothing important falls between teams.
  • Build and improve repeatable GTM workflows, using automation and AI-first approaches where they make the work more reliable or efficient.
  • Work with commercial and delivery teams to improve handoffs and turn effective ways of working into repeatable processes.
Finance and other operations
  • Support the finance function with operational work as required, including supplier cost tracking, maintaining reliable inputs and records, and finance systems and projects support (for example budgeting support for company events and/or systems upgrades or workflows).
  • Support the company’s compliance activities, helping the team ensure our SOC2 obligations are met through reliable people operations, IT ops and supporting SOC2 audits via project management and coordinating evidence collation.

In your first 30 days
  • You understand how monō ai works, who owns key decisions and where the main operational friction sits.
  • You have built a working understanding of monō ai's platform and are using it to improve your day-to-day work.
  • You have built trust across the team as someone who follows through and exercises good judgement.
  • Core operational information is organised, current and easy to find.
  • You have taken ownership of several immediate priorities and closed them properly.
In your first 90 days
  • The team has greater confidence in the reliability and visibility of its core operating information.
  • You are using monō ai's platform confidently and have improved its organisational knowledge, adoption or use in business operations where it is useful.
  • Key people, commercial, technology and administrative workflows have clear owners, sensible controls and fewer points of friction.
  • Several recurring processes have been simplified, documented or automated, with tangible time or quality improvements.
  • You have become a force multiplier for the team — not by creating more process, but by making the right work easier to do.
Over time
  • monō ai has an operating foundation that can scale without unnecessary bureaucracy.
  • The team spends less time chasing information and more time building, selling and delivering.
  • Important commitments are visible, owned and completed.
  • The business runs with increasing velocity, intelligence, capacity and experience.
What we are looking for

You may come from operations, consulting, professional services, finance, technology, a startup, a high-growth company or another demanding environment. The exact background matters less than what you have taken responsibility for and improved.

We are looking for someone who:

  • Has independently owned recurring business operations or cross-functional workflows, improved how they run and can show what changed as a result.
  • Has exceptional drive, high standards and the discipline to finish what they start.
  • Leans into AI‑first thinking, is curious about how businesses work and learns quickly across unfamiliar topics.
  • Can move between detailed administration and broader business questions, form a view and recommend a practical next step.
  • Thinks in systems, notices what is missing, takes responsibility and builds processes a small team will actually use.
  • Is organised, diligent and dependable with sensitive information and competing priorities.
  • Communicates clearly, builds strong relationships and brings sound judgement to ambiguity - with the humility to listen and the confidence to challenge constructively.

You do not need to be a specialist in every area. Experience across several of the following will help you succeed:

  • Startup, scale‑up or professional‑services operations.
  • HR / People operations, recruitment coordination or onboarding.
  • Accounting, finance administration or management reporting.
  • Project management and cross‑functional delivery.
  • Internal systems administration, CRM, revenue operations, commercial administration or using AI and other tools to improve workflow execution.
Important context

This is a high-ownership role in an early-stage company. The work will be varied, fast-moving and occasionally messy. You will be trusted to bring structure to ambiguity, do the practical work yourself and work with colleagues to get decisions made. You will not need to own every company decision to have a material impact on how the business runs.
