Employment Type: Permanent, full-time or part-time (4 days a week)

Take ownership of the numbers, support a growing business and make a real impact. Are you an experienced Bookkeeper who enjoys having ownership of the accounts while being the go-to person for payroll, people and office operations?

We're partnering with a growing construction group operating across high-end residential, commercial construction and specialist joinery to find a capable, hands-on Bookkeeper & Office Administrator to join their team in Rose Bay, NSW.

This is an opportunity to work closely with the directors, oversee the financial and administrative operations of multiple related businesses, and play an important role in supporting the group's continued growth. With a varied remit across bookkeeping, payroll, HR administration and office management, this position would suit someone who enjoys variety, works confidently with minimal supervision and takes pride in keeping a business running smoothly.

About the Role

Reporting directly to the Director, you'll take responsibility for the day-to-day financial operations across three related businesses, ensuring the accounts, payroll and administrative functions are accurate, organised and completed on time. You'll have genuine ownership of your work, with the opportunity to improve processes, support decision-making and help establish the financial systems of an additional business joining the group.

Bookkeeping & Financial Management
  • Manage end-to-end bookkeeping across multiple entities using Xero.
  • Process and code supplier invoices, allocate costs to projects and maintain accurate financial records.
  • Complete weekly bank and credit card reconciliations, supplier statement reconciliations and payment preparation.
  • Monitor accounts payable and receivable, including following up outstanding invoices.
  • Maintain cash flow forecasts and manage financial provisions for tax and superannuation.
  • Prepare monthly financial reports, including profit and loss, balance sheets and aged receivables and payables.
  • Manage intercompany transactions, shared-cost recharges and project-related journals.
  • Prepare BAS, IAS and other relevant tax and compliance reporting, working with external accountants as required.
Payroll & Compliance
  • Manage fortnightly payroll, including timesheets, leave, superannuation and Single Touch Payroll.
  • Maintain accurate payroll records and ensure employee and contractor payments are processed correctly.
  • Manage payroll tax obligations and support year-end payroll reporting.
  • Ensure payroll, tax and financial obligations are completed accurately and within required deadlines.
HR & Employee Administration
  • Coordinate employee onboarding and offboarding, including contracts, offer letters and system access.
  • Maintain employee records, leave balances, probation dates and compliance documentation.
  • Support recruitment administration, reference checks and interview coordination.
  • Assist with salary reviews, staff incentives and other employee-related administration.
Office & Business Operations
  • Manage shared accounts and office inboxes and act as a key point of contact for staff and external stakeholders.
  • Support the directors with diary management, meetings and document preparation.
  • Maintain company compliance registers, licences, insurances and subcontractor documentation.
  • Coordinate fleet administration, software subscriptions, office supplies and general facilities.
  • Help maintain efficient systems and processes across the group's businesses and office locations.
About You

You're an organised, commercially minded finance professional who enjoys taking ownership and being relied upon. You're comfortable balancing recurring financial deadlines with the day-to-day needs of a busy construction business.
To be successful, you'll ideally bring:

  • At least3 years' experience in full-cycle bookkeeping and payroll.
  • Strong working knowledge of Xero, including reconciliations and financial reporting.
  • Sound understanding of BAS, GST, PAYG, superannuation, Single Touch Payroll and payroll tax.
  • Experience with general ledger journals, month-end reporting and financial reconciliations.
  • Strong Excel skills and exceptional attention to detail.
  • Excellent organisational skills and the ability to manage competing deadlines across multiple entities.
  • Clear communication skills and confidence liaising with directors, employees, suppliers and subcontractors.
  • A high level of discretion when handling confidential financial and employee information.
Experience in construction, building, trades or another project-based industry will be highly regarded

Familiarity with Procore, Hubdoc or similar systems, along with experience in HR or office administration, would also be advantageous. A BAS Agent registration is desirable but not essential.

  • Opportunity to make an impact: Help streamline processes and support the establishment of financial systems for a growing business.
  • Competitive remuneration: Salary plus superannuation, commensurate with experience.
  • Additional benefits: Access to the company's salary sacrifice program following a six-month probation period.
