Qualifications

  • Mandatory: tertiary qualification or industry experience in superannuation, law, finance, corporate governance or related discipline.
  • Desirable: Graduate Diploma in Applied Corporate Governance and Risk Management (Governance Institute).
  • Strong influencing, negotiation and stakeholder management skills.
  • Knowledge of industry acts and codes (e.g., Superannuation Industry (Supervision) Act, Corporations Act).
  • Excellent computer skills with MS Word/Excel/PowerPoint/SharePoint.
  • Ability to translate legislation into policies and processes.
  • High discretion with confidential information.
  • Experience in Secretariat or governance in regulated industries (1–3 years).
  • Capable of managing multiple stakeholders and deadlines.

Responsibilities

  • Provide Secretariat services including meeting logistics, agendas, papers, and actions.
  • Maintain annual Board/Committee calendar and records.
  • Support internal stakeholders on governance matters and requirements.
  • Maintain Board records: papers, minutes, resolutions, attendance.
  • Manage confidentiality and access to restricted information with integrity.
  • Assist in board portal administration (Diligent) and templates/guidelines.
  • Support director development, training plans and governance processes.
  • Coordinate governance advice and records for directors and committees.

Job description

Team Super is a leading industry superannuation fund servicing the transport, energy and mining industries across Australia, with 150,000 members and over $25bn of funds under management.

The Board Coordinator provides administrative, logistical and secretarial support to the Secretariat team, assisting with the day-to‑day management of Secretariat functions for the Team Super Group. The role also supports the effective administration of Board and Director requirements throughout their lifecycle.

This position partners with stakeholders across the Team Super Group to ensure Secretariat related requirements are delivered and managed efficiently and effectively, supporting strong governance outcomes across the organisation.

Key Responsibilities:
  • Secretariat services to the Team Super Group including:
  • coordinating Group Boards' and Board Committees' meeting logistics, preparing agendas, assisting with collation and review of papers, ensuring timely distribution of papers and following up actions post meeting;
  • drafting and maintaining the annual Board and Committee calendar;
  • providing support to internal stakeholders in managing their requirements with respect to Board and Committee matters;
  • maintaining Board and Committee records including papers, minutes, circular resolutions,
  • resolution catalogues and attendance schedules;
  • undertaking administrative processes associated with coordination of Board and Committee activities;
  • maintaining and enhancing the Board's portal, Diligent;
  • assisting Directors in managing their ongoing professional development needs and maintaining training and development plans;
  • assisting in procuring advice in relation to Board and Committee governance matters;
  • maintaining corporate registers of Responsible Persons, Directors and Committee members;
  • development and maintenance of templates, procedures and guidance documents;
  • undertaking other activities as requested from time to time by the Company Secretary.
Qualifications:
  • Tertiary qualification or industry experience in superannuation, law, finance, corporate governance or a related discipline (mandatory);
  • Graduate Diploma in Applied Corporate Governance and Risk Management (Governance Institute) or working towards the qualification (desirable).
Skills and Experience:
  • Mandatory:
  • proven successful influencing, negotiation and stakeholder management skills;
  • knowledge of the Superannuation Industry (Supervision) Act 1993 (Cth), Corporations Act 2001 (Cth), and relevant industry codes and standards;
  • well-developed computer skills with strong experience in Microsoft programs such as Word, Excel PowerPoint and SharePoint;
  • ability to interpret and translate legislation into policies, procedures and processes;
  • strong organisational and time management skills; and
  • deep understanding of the need for confidentiality and discretion.
  • Secretariat or administration experience in highly regulated industries;
  • 1-3 years experience in Secretariat or governance role;
  • strong organisational skills and high attention to detail while working to competing deadlines;
  • ability to build relationships with good communication and interpersonal skills. This role is required to work with many stakeholders at all levels;
  • managing confidential information with the highest level of integrity and discretion;
  • Corporate governance/risk/compliance knowledge;
  • Co-Pilot experience;
  • Diligent or other Board Portal experience.
