Job summary

Melanoma Institute Australia (MIA) is seeking a Biobank Coordinator to manage day-to-day Biobank operations at the Poche Centre in Sydney. You will handle specimen collection, processing, storage and distribution while supporting clinical trials and quality compliance.

You will work closely with the Head of Biospecimen Bank, clinicians and researchers to ensure high standards and data integrity, contributing to cutting edge cancer research and patient care.

Qualifications

• Strong organisational and communication skills are essential.
• Demonstrated experience in a biobank, laboratory, clinical research, clinical trials or healthcare environment.
• Phlebotomy certification or experience is desirable.
• Familiarity with Good Clinical Practice (GCP) guidelines is preferred.
• Proficiency in data management systems and specimen tracking software is desirable.

Responsibilities

• Coordinate day-to-day Biobank operations including specimen collection, processing, storage, retrieval and distribution.
• Provide day-to-day guidance to the Biobank staff.
• Review clinical trial protocols and study requirements to establish Biobank workflows.
• Undertake hands-on specimen processing and storage; obtain blood specimens by venepuncture.
• Coordinate and perform drug preparation for clinical trials.
• Maintain high standards of specimen quality, integrity, security and traceability.
• Conduct audits of specimens and inventories; ensure secure data maintenance.
• Coordinate data entry and queries for clinical trials; foster relationships with clinicians and researchers.

Melanoma Institute Australia (MIA) pioneers advances in melanoma research and treatment that are making a difference to the lives of patients today. We are a non-profit organisation dedicated to preventing and curing melanoma through innovative, world-class research, treatment and education programs. MIA is a national affiliated network of melanoma researchers and clinicians based in Sydney at the Poche Centre – the world’s largest melanoma research and treatment facility. It’s from here that our specialists pioneer new research, conduct clinical trials, develop new treatments and promote awareness of melanoma and where our clinics treat 2,000 melanoma patients each year.

The Biobank Coordinator will coordinate the day-to-day operations of the MIA Biobank, ensuring the efficient and high-quality collection, processing, storage, retrieval and distribution of biospecimens for clinical trials and research.

This is a varied and hands‑on role that combines operational coordination, biospecimen processing, clinical trial support, quality and compliance, data management and team coordination. Working closely with the Head of Biospecimen Bank, clinicians, researchers, clinical trial teams and Biobank staff, you will help ensure that Biobank services are delivered efficiently, accurately and in accordance with study protocols, SOPs and regulatory requirements

Key Responsibilities

• Coordinate day-to-day Biobank operations, including specimen collection, processing, storage, retrieval and distribution.
• Provide day-to-day guidance to the Biobank Technical Assistants.
• Review clinical trial protocols, laboratory manuals and study requirements and establish appropriate Biobank workflows and procedures.
• Undertake hands‑on specimen processing, aliquoting and storage.
• Obtain blood specimens by performing venepuncture.
• Coordinate and perform drug preparation for clinical trials.
• Coordinate specimen and supply shipments in accordance with clinical trial protocols and study requirements.
• Maintain high standards of specimen quality, integrity, security and traceability.
• Conduct regular audits of specimens and inventories.
• Ensure accurate and secure maintenance of specimen and associated clinical and research data.
• Coordinate data entry and resolution of data queries for clinical trials.
• Develop effective working relationships with clinicians, researchers, clinical trial teams and other stakeholders.

Selection Criteria

• Tertiary qualifications in a relevant discipline or an equivalent experience.
• Demonstrated experience in a biobank, laboratory, clinical research, clinical trials or healthcare environment.
• Strong organisational and communication skills with the ability to manage resources effectively.
• Phlebotomist certification and experience in venepuncture (desirable).
• Knowledge of infection control procedures.
• Familiarity with Good Clinical Practice (GCP) guidelines.
• Demonstrated ability to work collaboratively and productively within a team, but also to take initiative and work independently while managing competing demands.
• Proficiency in data management systems and specimen tracking software (desirable)
• Demonstrated problem‑solving abilities.
• Demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
• Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training

Desirable (experience in one or more of the following areas would be an asset)

• Phlebotomy certification and experience in venepuncture.
• Experience in biospecimen processing, clinical trial sample management or biobanking.
