Qualifications

  • Hold Australian Government Baseline Security Clearance.

Responsibilities

  • Conduct legal research, including locating legislation, case law, guidance materials and records.
  • Assist with management and tracking of legal matters, actions and deadlines.
  • Prepare, coordinate and maintain legal documents and correspondence.
  • Draft meeting minutes, notes and reports.
  • Manage executive diaries, schedules and inboxes.
  • Coordinate meetings with stakeholders.
  • Arrange travel bookings and financial acquittals.
  • Support procurement activities and financial administration.
  • Maintain records per government policies and procedures.
  • Support business operations and branch administration.
  • Build relationships with stakeholders and deliver high customer service.

APS4-Equivalent Paralegal Opportunities (Multiple)

Allygroup is seeking motivated Paralegals, Legal Administrators, and Executive Assistants for multiple APS4-equivalent opportunities supporting a high-profile Federal Government legal function in Canberra.

These opportunities offer the chance to work in a fast-paced legal environment, supporting senior executives and legal professionals on matters of national significance.

This is an excellent opportunity to build on your legal, administrative, or executive support experience while gaining valuable exposure within the Australian Public Service.

Successful candidates will work in a dynamic and fast-paced environment, supporting complex legal matters and administrative processes. The roles are open to candidates located across Australia, subject to operational requirements.

Key duties may include:

Conduct legal research, including locating legislation, case law, legal guidance materials, and departmental records.

Assist with the management and tracking of legal matters, action items, and critical deadlines.

Prepare, coordinate, and maintain legal documentation, records, and correspondence.

Draft meeting minutes, file notes, reports, and other administrative documentation.

Manage executive diaries, appointments, meeting schedules, and inbox correspondence.

Coordinate meetings with internal and external stakeholders.

Arrange and administer domestic travel bookings and associated financial acquittals.

Support procurement activities, expenditure tracking, and financial administration processes.

Maintain records and information in accordance with government policies, procedures, and record-keeping requirements.

Support business operations, workflow management, and branch administration activities.

Build productive relationships with a broad range of stakeholders and deliver a high standard of customer service.

Our ideal candidates will have:

Previous experience in a paralegal, legal administration, executive assistant, or high-level administrative support role.

Strong written and verbal communication skills.

Excellent organisational skills, with the ability to manage competing priorities and meet deadlines.

High attention to detail and accuracy.

Sound judgement, discretion, and professionalism.

Demonstrated ability to work both independently and collaboratively in a fast-paced team environment.

Strong stakeholder engagement and customer service skills.

Proficiency in Microsoft Office applications and corporate information systems.

Hold an Australian Government Baseline Security Clearance.

Highly regarded:

Current studies towards, or a completed qualification in, Law.

Experience providing paralegal, legal administration, or legal support services.

Experience working within the Australian Public Service or a broader government environment.

Experience providing executive support to senior executives or senior leader
