Legacy is seeking an organised Advocacy Administrator to join the Advocacy Team in a full-time, 18-month parental leave cover role in Sydney. We are seeking an organised and compassionate Advocacy Administrator to join Legacy's Advocacy Team in a full-time, 18-month parental leave cover position. Reporting to the Legacy Advocacy Team Manager, this role provides essential administrative support for enrolment and advocacy matters, helping the families of veterans navigate processes relating to Department of Veterans' Affairs (DVA), Commonwealth Superannuation Corporation (CSC) and other external agencies.
As a first point of contact for the families of veterans, Legatees, staff and external stakeholders, you will support the preparation, lodgement and follow-up of claims and related documentation to the Department of Veteran Affairs and support applications for enrolment into Legacy. You will also maintain accurate records, coordinate information, and help ensure matters are progressed within required timeframes.
This role would suit someone with strong administration, communication and organisational skills who is motivated by purpose-led work. For the right person, there is also the opportunity to develop specialist knowledge and capability that may support progression toward advocacy work in the future.
Provide administrative support to the Legacy Advocacy Team across compensation, enrolment and advocacy-related matters.
Respond professionally and sensitively to enquiries from the general public, including from the Veteran Community, Legatees, staff, Legacy clubs, government departments and external stakeholders.
Prepare, distribute, lodge and follow up enrolment applications, compensation claim paperwork and supporting documentation.
Maintain accurate client and administrative records, including database updates, electronic filing and document uploads.
Liaise with DVA, CSC and other government agencies on client matters as required.
Monitor outstanding matters, generate reports and follow up documents to help ensure legislative and internal timeframes are met.
Support Advocates with appeal paperwork, course materials, form templates, reporting and other administrative tasks.
Participate in relevant training, supervision, team activities and Legacy events as required.
Strong administration experience with excellent attention to detail and accuracy.
Excellent written and verbal communication skills, including the ability to engage sensitively and professionally with diverse stakeholders.
Highly developed organisational skills, with the ability to prioritise work, follow up outstanding matters and meet deadlines.
Sound capability using Microsoft Office, including Outlook, Word and Excel, with confidence working across digital records and communication platforms.
Ability to build trust and rapport with families, volunteers, staff and external agencies while maintaining professional boundaries and confidentiality.
An understanding of, or willingness to learn about, Defence Force personnel, veterans’ families, ex-service organisations and the not-for-profit sector.
Compassionate, empathetic and patient approach, with awareness of the importance of self-care when working with sensitive matters.
Working with Children Check and National Police Check, or willingness to obtain.
ATDP Advocate accreditation, or interest in developing toward advocacy capability over time.
Previous experience in records management, confidential client files or case administration.
Experience working in a not-for-profit, community services, aged care, health, disability, veterans’ support or ex-service organisation.
Previous exposure to medical terminology, government forms, claims processes or complex administrative documentation.
Experience using online collaboration platforms such as Teams, Zoom or similar tools.
