Job summary

WesTrac in Kalgoorlie is seeking a Site Administrator to support KCGM site operations with administrative duties, workforce mobilisation, and compliance management. You will maintain records, assist with onboarding, training licenses, and payroll documentation, delivering timely, accurate administration.

Reporting to the Contract Manager - MARC, you will help with rostering, site access, audits, and stakeholder liaison while upholding WesTrac policies and continuous improvement initiatives.

Qualifications

  • Previous experience in a site administration, operations administration, or similar administrative role, preferably within mining, construction, or heavy industry.
  • Strong organisational and administrative skills with a high level of accuracy and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proven ability to build and maintain effective working relationships with a wide range of stakeholders.
  • Intermediate to advanced computer literacy, including Microsoft Office Suite and enterprise business systems.
  • Ability to manage competing priorities and meet deadlines in a fast-paced operational environment.
  • Strong problem-solving skills and a proactive approach to supporting site operations.
  • Ability to work both independently and collaboratively within a team environment.
  • Commitment to safety, compliance, and continuous improvement.

Responsibilities

  • Provide administrative support to site leadership and operational teams.
  • Coordinate workforce mobilisation requirements, including inductions, site access, and compliance documentation.
  • Maintain employee and contractor records, ensuring all training, licences, and certifications remain current.
  • Review daily timesheets and payroll-related administration accurately and within required timeframes.
  • Assist with roster administration and workforce scheduling activities.
  • Conduct and maintain routine administrative audits relating to safety, quality, and compliance requirements.
  • Manage site stationery, office supplies, and administrative resources.
  • Prepare reports, meeting minutes, and other documentation as required.
  • Liaise with internal departments and external stakeholders to support site operational requirements.
  • Maintain accurate records and filing systems in accordance with company procedures.
  • Support continuous improvement initiatives by identifying opportunities to streamline administrative processes.
  • Deliver exceptional customer service to internal and external stakeholders.

Job description

Reporting to the Contract Manager - MARC, the Site Administrator plays a critical role in supporting the day-to-day operations of the KCGM site. This position provides comprehensive administrative support to site-based teams, ensuring the efficient coordination of workforce administration, mobilisation requirements, compliance activities, and general site support. The successful candidate will maintain accurate records, assist with workforce planning and scheduling, support site onboarding requirements, and ensure all administrative processes are completed in accordance with WesTrac policies and procedures.

Roster : Residential Monday to Friday, 9.5 hours a day (excluding meal break)

What you’ll do:
