Job summary

Westmead Hospital's Brain Injury & Rehabilitation Unit is seeking an Administration Officer Level 2 to deliver efficient administrative support, greet patients, carers and staff, and help ensure smooth day-to-day operations.

You'll coordinate reception, clinic appointments, maintain patient records in the iPM system, organise room and equipment bookings, and collaborate with a multidisciplinary team to provide patient-focused service across inpatient and outpatient services.

  • Ability to work autonomously whilst also actively participating within a multidisciplinary team.
  • Previous experience in a hospital type environment, preferably in a frontline (reception) capacity.

Responsibilities

  • Delivering a professional reception service, responding to enquiries and providing assistance to patients, families, visitors and staff.
  • Coordinating outpatient clinic appointments, including patient arrivals and departures, appointment scheduling and rescheduling, and maintaining accurate information in iPM.
  • Maintaining patient records, managing correspondence and processing documentation in accordance with WSLHD policies and procedures.
  • Coordinating room, equipment and motor vehicle bookings, ordering and maintaining supplies, and arranging office equipment repairs when required.
  • Providing a broad range of administrative support across inpatient and outpatient services, working collaboratively with colleagues to prioritise competing demands and meet operational deadlines.

What you'll be doing


As the Administration Officer, you'll provide efficient, responsive and professional administrative support across inpatient and outpatient services. From managing reception and clinic appointments to maintaining accurate patient records, you'll help ensure patients receive a seamless and welcoming experience.

Your responsibilities will include:
