Job summary

Qube Energy is seeking an Administration Officer to manage the day-to-day running of the administration office and handle operations, safety, finance, payroll and HR related tasks. The role involves paperwork, filing, IT requests, stock management, procurement, travel bookings and onboarding support.

Ideal candidates will have a Certificate III in Business Administration, at least 3 years of office experience, strong communication skills and proficiency with Microsoft Office.

Qualifications

  • Current Driver licence.
  • Certificate III in Business Administration.
  • Efficient, professional and pleasant phone manner.
  • Minimum of 3 years office experience.
  • Strong interpersonal skills and the ability to communicate with a variety of people.
  • Proficient skills using Microsoft Office, Excel and PowerPoint.
  • Ability to work autonomously using a proactive approach to task resolution.
  • Ability to be flexible and adaptable to work in a demanding environment.
  • Ability to work cooperatively within a small team environment.

Responsibilities

  • To ensure all relevant paperwork is collated and attached as per invoicing procedures

  • Maintain employee personnel files
  • Managing of IT requests via Shell and Qube systems
  • Assist Site Operations Manager with stock of safety equipment
  • Ordering of office stationary requirements
  • General office filing for personnel, training files
  • Manage stock for mailing and attend to all postal mailing and collection
  • Archive documents in storeroom
  • Attend to office reception - visitors, couriers, contractors and general enquiries
  • Manage office correspondence
  • Maintain amenities supplies
  • Basic PPE consumables
  • Basic crib requirements housekeeping
  • Toolbox attendance
  • Supplier account management, purchase orders and invoicing through Mainpac
  • Preparation, creation and management of documents
  • Completion of Travel bookings
  • Managing of PPE portal for Queensland Employees
  • Responsible for distributing business communications to wider Qube Energy team
  • Managing of recruitment requests
  • Completing and distrubting of meeting minutes
  • Assisiting with new employee onboarding

ABOUT THE ROLE
