Job summary

• Certificate III in Business Administration or equivalent experience.

• Excellent written and verbal communication skills.
• Ability to manage competing priorities and work independently.

• Assist with vendor and intercompany invoice processing and GL allocation.
• Provide general administrative support to ensure efficient office operations.
• Answer calls, emails and enquiries professionally and promptly.
• Coordinate meetings, travel and meeting room bookings.
• Prepare correspondence, reports, and spreadsheets as required.
• Maintain electronic and paper filing systems and registers.

Job Purpose

The Administration Assistant provides high-quality administrative and clerical support to ensure the efficient day-to-day operation of the office. This role supports multiple stakeholders, contributes to smooth business processes, and delivers professional customer service to both internal and external contacts.

Job Duties and Responsibilities

• Assist with processing vendor and intercompany invoices, ensuring accurate allocation to the general ledger against the correct budget account and sales/internal orders.
• Provide general administrative support by completing assigned tasks and responsibilities to ensure efficient office operation and presentation, such as; event catering, stationary, company apartment, car park register, office equipment and facilities maintenance, security cards, reception monitoring and mail.
• Answer and direct phone calls, emails and general enquiries in a professional and timely manner.
• Coordinate meetings, travel arrangements and meeting room bookings.
• Prepare correspondence, reports, presentations and spreadsheets as required.
• Maintain accurate electronic and hard copy filing systems and registers.
• Assist with onboarding documentation and general HR administrative tasks as required.
• Assist with internal communications and distribution of information.
• Ensure compliance with company policies, procedures and EHS requirements.
• Provide ad hoc administrative support to managers and team member as required.
• Effective and efficient use of business systems such as SAP, Maxims, Harvest, Share Point and Concur
• Collaborate across MTS to achieve shared goals and customer outcomes.
• Comply with all legislative, corporate and site specific requirements.
