They are currently seeking a proactive and detail-oriented Accounts Admin Assistant to champion their accounts processes and support their fast-paced operations team.
Reporting directly to the National Business & Administration Manager, the Accounts Admin Assistant is responsible for ensuring the accurate and timely management of the company’s financial transactions. This role is vital to the business, focusing heavily on the day-to-day administrative functions surrounding debtor and creditor account maintenance.
Facilitate the weekly invoice run and manage payment allocations within Xero and TMS systems.
Chase outstanding payments, follow up on overdue accounts, and prepare end-of-month payment reminders via Xero.
Reconcile debtor ledgers between accounting and TMS systems.
Ensure all customer inquiries via the AR inbox are acknowledged and answered within 48 hours.
Investigate credit claims, resolve billing disputes, and assess customer creditworthiness.
Assist with Accounts Payable duties, including invoice reconciliations, discrepancy resolution, and data entry.
Review daily driver runsheets, calculate driver hours, and update the timesheet system.
Generate financial reports on accounts receivable aging, cash flow, and other relevant metrics
To be successful in this role, you will be a highly organised professional who thrives in a fast-paced environment and possesses the following:
A minimum of 2 years of proven experience specifically in Accounts Receivable (AR) and Finance Administration.
Prior background and working experience in the transport industry - MUST HAVE.
Advanced computer literacy, including experience with MS Word, Excel, and accounting software.
Excellent attention to detail, as accuracy in data entry and record-keeping is crucial.
Strong problem-solving skills to effectively identify and resolve payment discrepancies or overdue accounts.
Excellent written and verbal communication skills to interact with customers and internal stakeholders.
A dedicated customer service focus across written, phone, and face-to-face channels.
