Are you a high-performing Strategic Executive Assistant ready to take your career to the next level? We’re looking for a critical-thinking Strategic Executive Assistant to partner directly with our CEO and Executive Team — not just to manage calendars and meetings, but to help shape the future of CoAct.

In this critical role, you’ll be a trusted right hand behind the scenes, where your coordination, planning, and executive-level support skills will help drive decisions that improve lives and strengthen communities. You’ll connect the dots, elevate the quality of execution, and bring a fresh perspective that helps us think ahead and act smarter.

Responsibilities
  • Manage the Executive Team’s diary, meetings, travel, and communications with efficiency and foresight
  • Coordinate board and leadership meetings, including agendas, minutes, and follow-up actions
  • Prepare high-quality documents, reports, and presentations for internal and external stakeholders
  • Maintain confidentiality and manage sensitive information with discretion
  • Implement smarter systems and workflows that enhance decision-making communication and execution
  • Support strategic projects and initiatives, offering insight, structure, and momentum towards shared goals
  • Represent CoAct in key internal and external relationships, ensuring clarity, professionalism and alignment
  • Troubleshoot issues, manage competing priorities, and adapt to shifting demands
What You’ll Bring
  • Excellent communication, organisational, and time-management skills
  • Advanced in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and digital collaboration tools (Teams, Zoom)
  • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment
  • A proactive, solutions-focused mindset and the ability to anticipate needs
  • Confidence working with senior stakeholders and handling sensitive matters
  • Understanding of board or governance processes is highly desirable
  • Experience with digital tools for workflow, document management, and project tracking (e.g., SharePoint) is a bonus
