Are you a highly organised individual with excellent communication skills and a knack for anticipating needs? This newly expanded permanent full-time role is essential in ensuring the smooth operation of our office while providing high-level executive support to the Owner/Founder and CEO. You’ll be the go-to person for office and facility matters, as well as a trusted right hand to our leadership team - your days will fly!

Hours: Full-time, Monday to Friday on site (Mulgrave location)

Responsibilities of the role:

Office Management Duties:

· Answer and direct phone calls to appropriate departments or individuals

· Manage the front desk, including handling mail

· Maintain an organised and efficient office environment

· Oversee office supplies and equipment, ensuring everything is stocked and functioning

· Provide administrative support to the management team and staff

· Assist with coordination of office events, such as team-building activities, meetings, and training sessions

Personal Assistant Duties:

· Provide proactive support to the Owner/Founder and CEO, including calendar and inbox management

· Schedule and coordinate meetings, appointments, and travel arrangements

· Prepare and format documents, reports, presentations, and correspondence

· Track project progress and provide status updates to relevant stakeholders

· Handle confidential information with discretion and professionalism

· Liaise with internal and external stakeholders on behalf of the executive team

You’re a proactive and detail-oriented professional with a flair for organisation and a natural ability to support senior leaders. You excel at multitasking, have exceptional communication skills, and thrive in a fast-paced environment. Your ability to manage office operations and executive priorities efficiently will make you an ideal fit for our team.

· Proven experience as an Office Manager, Personal Assistant, or in a similar administrative role

· Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)

· Capable of producing creative and professional content using Canva and related design applications

· Excellent organisational and time-management skills

· Strong attention to detail and problem-solving abilities

· Ability to multitask and prioritise tasks effectively

· Good communication and interpersonal skills

· Discretion and professionalism when handling sensitive information

· Collaborative team player
