Responsibilities


  • Front office management

  • Assisting in document preparation, filing, maintaining and updating office databases

  • Cooperating with vendors, building management/owner, and service providers

  • Coordinating requests and orders with suppliers and HID Global partners

  • Welcoming visitors and support with accommodation bookings, if needed

  • Assisting with employee onboarding

  • Organizing and coordinating company events, conferences, training sessions, and meetings

  • Handling emails, and mail distribution

  • Handling shipment of packages

  • Coordinating internal communications and announcements

  • Managing purchases, monitoring deliveries, and classifying invoices

  • Supporting HR in administrative tasks

  • Fleet management for Germany and Austria



Qualifications


  • University degree in a related field ongoing or equivalent combination of education preferred

  • Experience as an office assistant or in related field will be an asset

  • Proactivity, can-do attitude

  • Strong organizational skills

  • Independent, detailed oriented way of working

  • Very good time management and ability to prioritize daily tasks

  • Strong communication and teamwork skills

  • Discreet and knowledgeable in applying GDPR regulations

  • Feeling comfortable in a nerdy environment

  • Ability to effectively communicate in the German language, both verbally and in writing

  • Ability to effectively communicate in the English language, both verbally and in writing
