Complexity Science Hub is seeking aDIS Program Coordinator in Vienna to manage the early-career researcher lifecycle, from calls and onboarding to curriculum development and alumni relations, within Academic Affairs.

You will collaborate with faculty, CSH leadership, and student representatives to align program goals, oversee admissions and enrolment, manage partnerships and budgets, and foster leaders across academia and beyond. Flexible hours; hybrid work options.

Overview

Are you excited about empowering the next generation of complexity scientists? Do you want to help grow our world-class interdisciplinary research programs in Vienna? Then join the Complexity Science Hub's Digital Innovation School as the DIS Program Coordinator. In this role within Academic Affairs, you will:

• manage the entire early-career researcher lifecycle, from calls, selection, and onboarding, to curriculum development and alumni relations for our portfolio of research training and education programs.
• work with the faculty, CSH leadership, and student and postdoc representatives to align expectations and processes with the goals of the programs and track progress against those objectives.
• serve as a resource for students, faculty, and our university partners in providing oversight of admissions and enrolment processes and ensuring academic milestones are achieved.
• manage formal partnerships in support of early-career researcher training, including related budgets and formal agreements.
• foster the professional development of emerging leaders in complexity science – whether in academia, government, policy, or business – through bespoke training opportunities aligned with identified student needs and our overall research objectives.
• support early-career researchers as they navigate personal, academic, or professional challenges and encourage their success through formal and informal structures.
• contribute to other activities central to CSH research, training, and operations, as needed and determined by the supervisor.

We are looking for someone who combines detail-oriented organizational capacity with genuine interest and care for the student experience. Ultimately, we are looking for someone who can navigate the fine balance between support and accountability in research education and training.

Your Profile

Essential:

• University degree (Masters preferred).
• Near-fluent English and the ability to professionally communicate in German (approx. B2/C1 but practical aptitude is more important than certification).
• Strong organizational skills, including remote and in-person events, longitudinal record-keeping, budget tracking, and database management.
• Readiness to adjust work schedule according to program needs throughout the year.
• Experience with standardized process development, documentation, implementation, and accountability measures.
• Ability to communicate effectively and respectfully with diverse audiences – from program applicants to senior leadership.
• Empathy, patience, and a coaching-mindset when working with clients or students.
• Confident digital skills [e.g. spreadsheets, collaborative text editing, graphic design, website CMS, HR/prospect management platforms, LLMs] and aptitude to learn new tools as needed.
• Demonstrated commitment to fairness, equity, and inclusion and practices to foster belonging.

Nice to have:

• PhD-level research experience in a quantitative science.
• Experience with university admissions and degree-granting processes from an administrative perspective.
• Success developing and/or implementing capacity-building programs.
• Knowledge of current best-practices in selection, mentoring, and career development for graduate students.
• Past international mobility for work or study.
• Meaningful engagement with geographically and culturally diverse groups.
• Familiarity with the field of complex systems and/or one or more of the research themes of the Complexity Science Hub.

What We Offer

This role offers an exciting opportunity to build on the early success of CSH’s DIS programs and CSH’s perennially popular Winter School and Summer Internship Program to inspire and support early-career complexity science researchers. The DIS Program Coordinator will maintain the excellence of these existing programs by expanding their depth to ensure a stable foundation on which the program can grow. This is a role with strong potential for learning and growth, i.e. for researchers interested in moving into academic administration and/or student support – but also for experienced managers to lead the further development of a unique portfolio of interdisciplinary research programs. Embedded within CSH’s ever-expanding partner network, the role will interface with major organizations in the Austrian, EU, and international education and research landscape. This role will work in close collaboration with, and report to, the Head of Academic Affairs at CSH and will be part of CSH’s Operations team.

The minimum salary for this role is € 4.056 (40 hours/week), with overpayment possible pending applicable experience. A part-time position of at least 30 hours/week can be considered. CSH staff enjoy flexible working times and will consider requests for up to one day per week for remote work.
