Marketing Specialist | CRM & Automation Specialist with Media Buying Experience

We are seeking a high-performance CRM & Automation Specialist with Media Buying Experience who can own results across two core areas: building and managing the tech systems that power our clients' lead pipelines, and running Meta ad campaigns that keep those pipelines full.
NOT solely a task‑taker role.
This is for someone who is equally comfortable inside GoHighLevel building a nurture sequence as they are inside Ads Manager optimizing a lead gen campaign. You are technically proficient, client‑facing, and you do not wait to be told something is broken before you fix it.
Keep SalesGenius clients' tech stacks running, their leads flowing, and their ad campaigns performing. In this role you will own both sides of the client delivery engine: building and managing CRM workflows, automations, and tech integrations across tools like GoHighLevel, Follow Up Boss, Lofty, Make, and Zapier, and launching, running, and optimizing Meta ad campaigns using existing frameworks and structures already built inside client accounts. You will be the go‑to person for making sure that when a lead comes in, the whole system works end‑to‑end from ad click to CRM to booked call.
What You’ll Own
1. Tech & CRM Set Up (Primary Focus)
- Lead client tech onboarding calls to set up and verify their full tech stack: Meta ad account access, CRM connection, pixel installation, and lead flow testing
- Ensure every new client's Meta ads are connected end‑to‑end before campaigns go live – this means their CRM is integrated, leads are flowing in with the correct tags, and automations are firing correctly
- Set up and manage GoHighLevel pipelines, workflows, email templates, and nurture sequences for client accounts
- Connect and configure integrations between tools (Typeform to GHL, Calendly to landing pages, Meta Lead Ads to CRM) so leads flow automatically with correct tags
- Set up and troubleshoot automation workflows in Make, Zapier, or Pabbly
- Set up and configure ManyChat comment‑triggered DM automations
- Set up Calendly booking pages, configure tracking pixels, and ensure thank you pages fire conversion events correctly
- Troubleshoot CRM integrations and connection issues across platforms
- Support the internal ops team on broader system builds as needed
2. Email Nurture Sequences
- Load and configure email nurture sequences into GoHighLevel (GHL) and other real estate CRMs such as Follow Up Boss and Lofty using existing SalesGenius templates
- For listing ad campaigns, set up the delivery email and nurture sequence inside the client's CRM following established templates
- Proficiency in GHL transfers directly to Follow Up Boss, Lofty, and similar CRMs – the setup is mostly template‑based, not custom development
- The ability to build custom automations beyond the templates is a major asset in this role and will be recognized
3. Paid Campaign Management (Meta)
- Run Meta campaigns for SalesGenius clients using existing campaign structures and frameworks already built inside ad accounts
- Duplicate campaigns, update ad copy, swap creatives, and monitor performance against KPIs
- Campaign types include lead generation ads (giveaways, listing ads, hot list ads, CMA ads etc…) and awareness / engagement / traffic ads (brand awareness videos, social proof / retargeting, testimonial ads)
- Run A/B tests on a regular cadence to reduce CPL and analyze performance
- Advise on budget strategy, maintain CPL benchmarks across varied audiences, and manage housing special ad category compliance
- Communicate campaign performance clearly to both the internal team and to clients
4. Ad Account Setup & Management
- Set up and manage Meta Business Manager accounts, business pages, and Meta ad accounts for new clients
- Troubleshoot Meta account restrictions
- Grant and manage partner access and permissions
- Troubleshoot payment and billing issues and resolve ad rejection and policy violations (including housing category and discriminatory practices flags)
- Handle 2FA and account security issues
5. Audience Building & Retargeting
- Build custom audiences using CRM lists, page visitors, lead form engagers, and IG/FB page engagers
- Upload client CSV databases for retargeting
- Understanding and ability to set up pixel integration and different standard events (including but not limited to schedule, page view, lead)
- Update existing audiences inside Ads Manager when ad changes are made
6. Client Communication & Office Hours
- Lead client‑facing tech onboarding calls to walk clients through their Meta ad account setup, CRM connection, pixel configuration, and lead flow verification – clients need to trust that their tech is set up correctly before ads go live
- Host weekly Office Hours sessions for clients, providing real‑time guidance on ad strategy, CPL benchmarks, targeting, and ad account troubleshooting
- Lead ad strategy and performance review calls, and ManyChat setup calls
- Deliver campaigns via Slack with Loom walkthroughs and share performance updates proactively
- Set clear expectations with clients, communicating professionally & effectively
7. Ad Buildout Deliverables
- Act as project lead on campaign deliverables following existing company templates:
- Coordinate with team members to complete builds
- Double‑check all links, automations, videos, and assets before client delivery
8. Performance Analysis, Reporting & Campaign Optimization
- Present weekly ad audits covering CPL, CTR, Booked Calls
- Make data‑driven recommendations on scaling winners, cutting underperformers, and reallocating budgets
- Maintain Ad Account SOPs and campaign tracking documentation
- Create, present, and implement optimization strategies for underperforming accounts (including but not limited to creative changes, ad copy or headline changes etc…)

- Proficiency with at least one automation platform: Make, Zapier, or Pabbly
- CRM proficiency across multiple platforms (Follow Up Boss, Lofty, GoHighLevel)
- Solid working knowledge of Meta Ads (Facebook/Instagram) campaign build, optimization, and compliance
- Strong understanding of CPL benchmarking, A/B testing, and audience strategy
- Comfortable configuring ManyChat and Calendly integrations
- Confident communicating with clients via Slack and live calls
- Able to host and lead structured client Office Hours sessions and onboarding calls
- Organized project lead capable of coordinating across team members
Bonus Skills

- Real estate industry experience and understanding of agent lead generation funnels
- Familiarity with Follow Up Boss CRM beyond email sequences
- Familiarity with Google and YouTube Ads
- ManyChat automation for social media comment‑triggered campaigns
- Familiarity with N8N, API Nation, or other third‑party API tools
- Experience with AI tools like Claude or ChatGPT for workflow automation
- 2‑3+ years of hands‑on GoHighLevel experience
- 2‑3+ years managing paid advertising campaigns on Meta
- Experience in a client‑facing or agency environment managing multiple accounts simultaneously
- Demonstrated ability to set up CRM automations, nurture sequences, and tech integrations end‑to‑end
- Real estate or coaching industry experience is a strong plus
- Eastern Standard Time alignment: you will check in with management during working hours and must be at your computer
- High proficiency in English (written and verbal)
- High‑speed internet, reliable equipment (computer, camera, mic), and backup power
- Comfortable working as an independent contractor with bi‑weekly or monthly invoicing
- Comfortable completing a paid trial period to ensure mutual fit
- Ability to take a campaign brief and build it end‑to‑end, from coordination through to launch, optimization, and reporting
