Job description

Political Asylum Lawyers is a Houston-based immigration law firm focused on asylum cases. We help immigrants all over the United States secure their futures here through asylum, combining exceptional standards with deep respect for the human reality behind every case.

Our work changes lives. The standards we maintain, the discipline behind our work, and the way we show up every day can determine whether someone is able to stay safe and build a stable future in the United States. That is why we operate with integrity, urgency, and excellence, and why we expect every team member to take full ownership of their role.

Everything we do is guided by our core values : integrity, excellence, accountability, teamwork and passion.

Working here means:

  • High-stakes responsibility: our work is of great consequence for our clients
  • Deeply meaningful outcomes: our work changes lives for the better
  • Emotionally demanding moments: resilience and maturity are essential
  • High standards and constant growth: excellence and continuous improvement are expected
  • Mission-driven teamwork: we’re passionate about helping immigrants secure their future in the United States through asylum, and we know that meeting our high standards requires each of us to take ownership, communicate proactively, and support one another

If you want a career where your skills create tangible change in the world, this is it.

You will be the primary point of contact for clients, engaging them daily in both English and Spanish and bringing outstanding communication skills and empathy to those relationships. This will mean sending emails and making phone calls daily to respond to client inquiries and to seek information and documents from them as we manage their cases.

You will keep case development on track by following established workflows and flagging anything that falls behind. You will proactively communicate with your teammates to let them know of any issues or difficulties you are facing in a case, so that we can keep things moving forward.

You will not need substantive knowledge of U.S. immigration law, but you must master our standard operating procedures for managing cases and working with clients.

You’ll need a quiet space, fast internet, and the discipline to stay on task without close supervision.

You must be flexible - the nature of your tasks may change daily or over time, with you stepping up to do whatever is needed to give potential clients and clients the best experience possible. Policies and procedures will change frequently, as we’re a fast-growing company, and we’re constantly experimenting to optimize our delivery of services.

You must speak Spanish and English fluently and be comfortable using both languages professionally - you’ll use both languages every day on the job.

You must be detail-oriented and able to work under pressure, meeting deadlines and producing top-notch work. The work is at times intense: we handle important - in some cases, life-or-death - matters for clients, sometimes on compressed timelines, and we’re serious about promoting a culture of excellence in all that we do.

If you can handle that and want to do work that genuinely matters, you'll find this job to be deeply satisfying. Our work changes lives. Our team takes real pride in helping immigrants find safety, stability, and freedom.

Working here also means building skills that will serve you throughout your career, as we prioritize training and professional development.

This role is open to candidates located in Argentina .

What You’ll Do

  • Work closely with attorneys, paralegals, and other staff in serving clients
  • Serve as the firm’s main point of contact with clients, supporting attorneys and paralegals in engaging clients throughout the representation
  • Serve as the bridge between clients and the legal team: surface client questions and concerns to attorneys and paralegals, and relay guidance back to clients clearly
  • Return phone calls and reply to emails from clients and potential clients
  • Proactively provide status updates so clients always understand where their case stands and what comes next, rather than only responding when contacted
  • Set and manage clear expectations with clients about timelines, the process, and what will be required of them at each stage
  • Work with clients to ensure they perform tasks designated for them in developing their cases
  • Proactively identify clients who are disengaged, confused, or at risk of missing a step in their case, and intervene before it becomes a problem
  • Coordinate case logistics: scheduling appointments and preparation sessions, sending reminders, and following up to keep clients engaged
  • Proactively manage cases to ensure deadlines are met
  • Maintain tracking systems specifically built to catch clients before they fall through the cracks, not just to track deadlines
  • Compile and submit filings to immigration agencies
  • Perform administrative tasks as assigned

Overview

Our client is a small, fast-moving legal-tech startup transforming estate planning for attorneys. Their platform streamlines client information intake, automating manual work and giving law firms a smoother, more collaborative way to serve their clients.

Your Role

This is a wide-ranging Executive Assistant seat supporting the CEO across both business and personal logistics. The company needs someone who anticipates what's coming, juggles competing priorities without dropping the ball, and takes things off the CEO's plate before they become urgent — not after. The CEO wants a thinking partner, not just a task-taker: someone who sees an email and drafts the reply (with 2-3 options and a recommendation) rather than asking how to respond.

You’ll:

  • Own the CEO's inbox — triage, prioritize, draft responses, and make sure what matters gets answered on time; clear out the rest so it's not taking up headspace

  • Run the calendar with sharp attention to time zones — schedule meetings and keep it moving without constant check‑ins

  • Handle all travel end‑to‑end — flights, hotels, cars, points re‑optimization, fast rebooking when plans change

  • Own conference prep and logistics start to finish — coordination with organizers, shipping and materials, flights for the CEO and travel companions (roughly 10‑12 conferences a year, clustered Sept‑Oct and early in the year)

  • Handle outbound logistics calls — vendors, hotels, airlines, conference organizers (not client-facing calls with the company's law firm customers)

  • Act as the liaison between the CEO and internal/external stakeholders (vendors, partners, the household manager for in-person needs), keeping communication timely, professional, and diplomatic

  • Take on business admin (purchasing, record‑keeping) and personal/household logistics (scheduling car service, appointments, coordinating with the household manager) so both sides of the CEO's life stay covered

  • Spot repetitive work and help automate or systematize it rather than just repeating it each time

  • Step into special projects and research as they come up — using AI tools to investigate and come back with findings and a recommendation, not just questions

  • Handle confidential information with airtight discretion

You Bring:

  • Proven experience as an Executive Assistant, or strong related experience paired with sharp tech‑savviness — skills and adaptability matter more than years in the EA title specifically

  • Real travel‑planning chops — comfortable with airlines, hotels, points/rewards programs, and complex itineraries

  • Sharp organizational and time‑management skills with genuine attention to detail (time zone accuracy is non‑negotiable)

  • A proactive, flexible mindset — you spot what's needed, propose a solution, and handle it before it's urgent, rather than just categorizing or flagging it

  • Comfort using AI tools to research and solve new problems independently

  • Strong written and verbal communication, with a diplomatic, professional tone for external‑facing interactions

  • Comfort with modern productivity and project management tools (Google Workspace and similar)

What’s Offered:

  • Competitive compensation based on experience and 15 days PTO

  • Full‑time role with US Time overlap

  • 100% remote (LATAM‑based candidates)

  • High-trust partnership with a high-performing founder
  • Direct impact on executive performance and company operations

Interview Process:

Intro Chat (Atomic HR) – 20‑minute conversation on fit and experience

Targeted Assessment – Focused on real EA scenarios, Notion, and AI usage

Final Interview – Conversation with the CEO
