Job Purpose:
We are recruiting a Workplace Services Manager to join the team located in Dubai. The successful candidate will serve as a professional, engaging, and interactive first point of contact for building occupants, addressing operational queries/issues across multiple sites in the UAE. The role also involves acting as an interface between clients and vendors, ensuring a five-star standard is maintained, and issues are proactively identified and addressed before clients become aware. The candidate will receive training and support to develop a career in Facilities Management.
Key Tasks/Responsibilities:
- Develop and maintain client-facing relationships.
- Manage different client sites in UAE.
- Support and foster a collaborative environment among vendors and across all floors.
- Act as the interface with vendor operatives providing on-floor services, ensuring seamless delivery.
- Maintain standards and deliver high levels of personal client engagement.
- Monitor and audit designated client areas to ensure they are ‘fit for business’.
- Perform inspections, report issues proactively, and record findings.
- Own and manage issues in collaboration with the FM team.
- Understand and monitor service delivery SLAs.
- Resolve daily client requests, manage expectations, and provide updates.
- Report hazards and safety observations timely through the myHSE system.
- Conduct regular health and safety inspections with vendors.
- Ensure presence in areas during events, maintaining cleanliness and order.
- Manage community activities and liaise with support teams for upkeep.
- Engage stakeholders in change initiatives and hold regular meetings.
- Report on vacant desks and maintenance issues, liaising with relevant teams.
- Coordinate with Multimedia services for AV issues and manage locker resets.
- Participate in welcome workshops and suggest service improvements.
Technical Support On-site:
- Conduct visual inspections of critical, common, and workplace areas, reporting issues.
- Manage vendor PPM work orders and change requests, ensuring timely approval and closure.
- Organize and perform scheduled PPMs, review service reports.
- Coordinate minor works, including obtaining quotes and presenting justifications.
- Conduct monthly QHSE audits, review vendor documentation, and ensure procedures are followed.
