Job description

Purpose

Collaborating within The FM team, the Facilities Supervisor is to embody and deliver an excellent experience with energy, passion, and presence to all customers and guests at the site. Reporting to the Manager, this vital and flexible position sets the tone of the user experience by creating daily, consistent moments of joy and courtesy through proactive walks, fault-finding, and reporting.

Responsibilities

  1. Ensure all meeting rooms are prepared daily according to booking requirements.
  2. Take full ownership of floors and surrounding areas to ensure an optimal work environment.
  3. Collaborate with IT, Admin, cleaning, and other departments to maintain a high standard of the workplace.
  4. Maintain excellent communication with key colleagues.
  5. Manage stationery stock within copy hubs and storage areas.
  6. Act as an ambassador for the Helpdesk, using the technology platform to track loaned items.
  7. Manage meeting rooms daily and supply refreshments as needed.
  8. Support the Admin Team in collecting deliveries from the Post Room and loading bay.
  9. Assist the Admin Team in storing gift items securely and efficiently.
  10. Report health and safety hazards and take proactive measures to resolve risks.
  11. Perform general manual handling tasks.
  12. Support courier requests, ensuring timely collection and delivery.
  13. Assist departments with receiving, inspecting, warehousing, and registering peripheral products.
  14. Provide support for local/office-specific tasks as requested.
  15. Notify colleagues of urgent or same-day deliveries.
  16. Assist with emergency procedures as needed.
  17. Manage keys for lockers and pedestals.
  18. Support minor move requests when required.
  19. Familiarize with front desk roles to provide cover when necessary.
  20. Assist with issuing and delivering lost or forgotten passes.
  21. Support the clear desk policy to maintain hygiene and organization.
  22. Ensure waste paper is disposed of in confidential bins only.
  23. Drive positive feedback and aim to improve performance and customer satisfaction.
  24. Complete all E-Learning modules on time without escalation.
  25. Promote and embody CBRE Excellerate’s four key values.
  26. Gather data for reports for clients and CBRE Excellerate.
  27. Represent CBRE Excellerate, promoting agility and excellent customer service.
  28. Support and execute any reasonable management requests.
  29. Provide coverage for client employees in case of absence.
  30. Qualifications

  • 3-5 years of experience in front desk, administration, or related service environment.
  • Fluent in English and Mandarin.
  • Proven experience in customer service with key skills demonstrated.
  • Strong problem-solving skills.
  • Excellent oral and written communication skills.
  • Effective influencing skills.
  • Experience in contract management and measurement.
  • Proficient in Microsoft Office and PC literacy.
  • Self-motivated.
