Role Summary

The Warehouse Coordinator will be responsible for monitoring and managing inbound and outbound deliveries locally and regionally, ensuring a smooth workflow in invoicing and order/shipment transportation.

Job Responsibilities

  • Coordinate and follow up on inbound and outbound activities, including mentoring Tatmeen portal requirements daily.
  • Communicate shipping status updates to clients and the sales team.
  • Handle delays, mis-dispatches, or incidents efficiently, limiting damages and extra costs.
  • Liaise with stakeholders (customers, sub-distributors, sales managers, production units, logistics personnel) to meet and exceed expectations.
  • Prepare quotes, invoices, and delivery orders using the company's ERP systems (SAP, CRM) promptly.
  • Verify and validate invoice content according to requirements and resolve any discrepancies.
  • Coordinate with the project controller to ensure document compliance with contracts.
  • Ensure adherence to regulatory and authority requirements.
  • Communicate with third-party logistics providers (3PL) regarding shipping and order preparation.
  • Raise RMAs (Returns Management Authorization) and faulty product requests, notifying relevant parties of pending returns.
  • Address product or service issues by clarifying customer complaints, identifying causes, proposing solutions, and following up to ensure resolution.

Qualifications

  • Bachelor's degree in Business Management, Supply Chain, or related field.
  • Experience in shipping aesthetic products and medical equipment is advantageous.
  • Experience with shipping processes and invoicing is a plus.
  • Proficiency in Microsoft Excel.
  • Strong problem-solving skills.
  • Ability to negotiate effectively with vendors, suppliers, shipping companies, and stakeholders to ensure quality service.
  • Strong analytical skills.
  • Excellent written and verbal communication skills in English.

Experience

  • Minimum 1-3 years of proven experience in a similar role.
