Job description

Key Responsibilities

  • Application Preparation: Accurately type and prepare documents required for various Freezone authorities, including license applications, renewals, visa requests, establishment cards, and other regulatory forms.
  • Data Entry: Enter client and company data into Freezone portals with high accuracy, ensuring information is current and compliant with regulatory requirements.
  • Document Formatting: Format and align all forms according to specific Freezone standards (e.g., DMCC, DAFZA, JAFZA), ensuring readiness for digital or in-person submission.
  • Proofreading: Carefully review typed documents for accuracy in company names, passport details, trade license info, and legal wording before submission.
  • Portal Submissions: Submit completed applications through official Freezone portals and assist with payment processing or online tracking when applicable.
  • File Management: Maintain organized digital and physical records of all applications, receipts, approvals, and correspondence for audit and follow-up purposes.
  • Application Tracking: Monitor the status of submitted documents and proactively follow up with Freezone authorities to avoid delays.
  • Client Updates: Communicate professionally with internal teams or clients regarding application statuses and outstanding requirements.
  • Compliance Record Keeping: Ensure all records, including supporting documents, are filed and stored according to Freezone compliance standards.

Role Requirements

  • Experience: Previous experience in Freezone application processing, administrative support, or typing roles in legal or government settings is preferred.
  • Typing Speed: Minimum typing speed of 50 WPM, with high accuracy
  • Freezone Knowledge: Working knowledge of Freezone systems, procedures, and required documentation (DMCC, IFZA, SHAMS etc.).
  • Technical Skills: Proficiency in Microsoft Office (especially Word and Excel) and experience with Freezone online portals and tools.
  • Attention to Detail: Strong ability to spot and correct errors in names, ID numbers, and legal terms; precision is critical.
  • Organizational Skills: Capable of managing multiple applications simultaneously and meeting deadlines under pressure.
  • Communication: Clear and professional communication skills, both verbal and written, to interact with authorities, clients, and colleagues.
  • Confidentiality: Handle client and company documents with the utmost discretion and maintain strict confidentiality.
