Job description

We are seeking a highly organized and detail-oriented Travel Coordinator to manage travel arrangements for high-level individuals. The ideal candidate will have previous experience in a travel department and be adept at liaising with hotels, booking tickets, and handling visa applications. This role is critical in ensuring that all travel needs are met efficiently and professionally, contributing to the smooth operation of all travel arrangements.

Key Responsibilities

  • Manage Travel Arrangements: Plan and coordinate all travel logistics, including booking flights, accommodation, and ground transportation.
  • Liaison with Service Providers: Build and maintain relationships with hotels, airlines, and travel service providers to ensure the best rates and services.
  • Visa and Documentation: Handle visa applications and other required travel documents, ensuring compliance with destination-specific requirements.
  • Budget Management: Monitor travel expenses and ensure bookings are made within the approved budget, seeking cost-effective solutions where possible.
  • Travel Itineraries: Prepare detailed travel itineraries, including flight information, hotel reservations, transportation arrangements, and meeting schedules.
  • Problem Resolution: Proactively manage and resolve any travel-related issues, such as flight delays, cancellations, or changes in travel plans.
  • Stay Updated: Keep up-to-date with the latest travel advisories, restrictions, and procedures to ensure seamless travel experiences.
  • Record Keeping: Maintain accurate records of all travel arrangements, expenses, and correspondence for reporting and reconciliation purposes.

Required Skills & Experience

  • Technical Skills: Microsoft Office Suite.
  • Experience in Executive Travel: Previous experience handling travel arrangements for senior executives or C-level professionals, and liaising with visa/travel offices like VFS, etc.
  • Discretion: Maintains a high level of confidentiality and discretion in handling sensitive information related to travel plans.
  • Excellent communication skills: With the ability to influence. Multiple literal fluency a plus.

  • Strong organizational and multi-tasking skills: Excellent organizational and multitasking abilities to manage multiple travel itineraries simultaneously.
  • Problem-solving: Proactive approach to identifying and resolving travel-related issues.

Preferred Domain Knowledge

  • Visa and Immigration Processes: Proficiency in handling visa applications, passport renewals, and understanding visa requirements for different countries.
  • Vendor Management: Experience in negotiating and maintaining relationships with travel vendors, such as airlines, hotels, car rental companies, and travel agencies.

Qualifications

  • Bachelor’s degree in business administration, hospitality management or related field, and/or +2 years of experience in a travel department or similar role, with a strong understanding of high-level travel management.
