Job summary

Etihad Engineering is seeking a Training Support Officer to coordinate technical training administration, with a focus on invoicing, scheduling, and customer coordination within the Training department.

You will support data reporting, resource planning, compliance, and training calendar management, ensuring efficient seat utilisation and accurate records across TMS and LMS.

Qualifications

  • Bachelor’s degree or diploma in a related field or job-specific experience in training admin.
  • Strong administrative and organisational capabilities with attention to detail.
  • Experience supporting invoicing, purchase orders and payments is a plus.

Responsibilities

  • Coordinate training administration, including invoicing and purchase orders.
  • Generate proposals, agreements and customer invoices with timely updates.
  • Maintain financial accuracy in systems and resolve billing queries promptly.
  • Plan and schedule in-house and outsourced training based on demand.
  • Monitor seat utilisation and address gaps to optimise revenue.
  • Allocate instructors and maintain training calendars, enrolments, and schedules.
  • Ensure compliance with UAE aviation regulations and internal policies.
  • Assist with examinations scheduling and invigilation; support data entry into TMS/LMS.

Job description

The Training Support Officer is an effective communicator and a key team member within Technical Training, serving as a focal point for interdepartmental and inter-divisional coordination.

Responsible for coordinating Technical Training administration activities, with a focus on financial coordination for payables and receivables, marketing support, data reporting, resource planning, compliance, and documentation. The role also supports optimal seat utilisation across training programmes to maximise efficiency and revenue, while ensuring effective coordination with customers and internal stakeholders.

Accountabilities
  • Ensure accurate and timely invoicing in line with contract agreements and budget limits; manage purchase orders and coordinate payments.
  • Generate and track proposals, agreements, and customer invoices and provide regular updates for management review.
  • Maintain financial accuracy in relevant systems, monitor revenue and costs, and resolve billing queries or disputes promptly.
  • Plan, schedule, and manage in-house and outsourced training programmes based on demand and resource availability.
  • Optimise seat utilisation by monitoring course fill rates and taking proactive action to address gaps.
  • Allocate instructors effectively and maintain up-to-date training calendars, enrolments, and schedules.
  • Monitor demand trends and ensure compliance with CAR/Part-147 requirements
  • Support the promotion of training programmes, maintain course visibility, and act as the focal point for customer enquiries, nominations, and coordination.
  • Liaise with customers and external providers to deliver efficient and cost-effective training solutions.
  • Support proposals, client engagement, and course uptake
  • Maintain accurate training records, documentation, and audit readiness
  • Ensure compliance with internal policies, regulatory standards, and operational requirements
  • Assist in examinations preparation, schedule and invigilation.

  • Maintain data accuracy and assist with updates and data entry for the Training Management System (TMS) and Learning Management System (LMS).
  • Prepare reports on training activity, resource utilization and financial performance on a regular basis and whenever needed
  • Prepare regular and ad hoc reports on training activity, resource utilisation, and financial performance.
  • Coordinate logistics, including scheduling, facilities, resources, and travel, visa, and accommodation arrangements when required.
  • Support internal coordination, meeting preparation, and follow-ups
  • Provide reception support as required.
Qualification & Education

Related diploma or bachelor’s degree in Business Administration, Finance, Computer Science, or a related field; or job-specific experience within a training school, airline, or MRO environment.

Experience
  • Minimum of 5 years’ experience in administration, finance support, or training coordination within a training school, airline, or MRO environment.
  • Strong experience in administration, planning, organisation, customer service, and marketing support.

  • Attention to detail and accuracy
  • Excellent communication, coordination, and interpersonal skills.
  • Ability to manage multiple tasks and meet deadlines
  • Proficiency in Microsoft Office (especially Excel); experience with ERP/LMS systems is an advantage
  • Understanding of aviation regulations, such as UAE GCAA or EASA requirements, and Part-145/Part-147 training regulatory requirements.
