A well-established organization in the Oil & Gas sector is seeking a Tender Specialist to handle end-to-end management of tenders, bids, and commercial proposals. The role involves ensuring submissions are accurate, fully compliant with client requirements, and delivered within deadlines. In addition, the specialist will support the wider business by coordinating internal stakeholders, handling client inquiries, maintaining records, and contributing to successful contract negotiations and revenue growth.
Key Responsibilities
- Prepare, review, and submit tenders, quotations, and proposals in line with customer requirements and industry standards.
- Analyze tender documents, circulate requirements to relevant departments, and consolidate responses into comprehensive submissions.
- Develop pre-qualification and registration documents for EOIs, RFQs, and other bidding opportunities.
- Respond to client inquiries, process orders, and ensure all orders align with agreed terms and submitted quotations.
- Manage and update records of quotations, bids, and contracts, ensuring accessibility for reporting and audits.
- Support management with the preparation of costing, pricing, and margin analysis.
- Follow up with clients on tender clarifications, progress updates, and post-bid feedback.
- Conduct client satisfaction surveys and gather insights to improve service delivery.
- Provide regular status reports on tenders, contracts, and related projects.
- Research new opportunities in the market, identify potential tenders, and evaluate alignment with the company’s strengths.
- Participate in contract negotiations with customers, vendors, and subcontractors.
- Review contract terms, ensure compliance, and support resolution of disputes or changes when required.
- Ensure adherence to relevant regulations and company policies in procurement, contracting, and data management.
- Identify areas to improve efficiency, reduce costs, and strengthen the tendering process.
Skills & Competencies
- Proficiency in MS Office Suite (Excel, Word, PowerPoint).
- Strong communication skills with the ability to present clearly to individuals and groups.
- Excellent comprehension and documentation abilities.
- Team-oriented with the ability to collaborate effectively across departments.
- Fluent in English; Arabic language skills are advantageous.
- Strong organizational and time-management skills to manage multiple submissions simultaneously.
- High attention to detail to ensure accuracy in proposals and contracts.
- Familiarity with project management tools and processes is a plus.
Experience Required
- Proven background in tendering, bidding, or contract management.
- Strong understanding of tendering processes and documentation.
- Prior experience within the Oil & Gas industry, especially upstream services, is highly desirable.
- Solid knowledge of procurement and contracting practices.
- Excellent verbal and written communication skills.
Education
- Bachelor’s degree in Business Administration, Marketing, Engineering, or a related field.
