Job Description

The Customs Brokerage Expert is responsible for overseeing and managing the operational support provided to clients, ensuring client satisfaction, business objectives are achieved, and the overall profitability of the organization. This includes supervising the team based in India to ensure seamless operational execution and alignment with business goals.

Responsibilities
  1. Operational Management:
    1. Coordinate with management and the operations team to design and implement effective business processes, aimed at improving operational efficiency and client satisfaction.
    2. Oversee the day-to-day operations, ensuring that all business transactions are properly recorded, and clients’ requirements are met.
    3. Collaborate with finance teams for timely invoicing and payment collection, ensuring financial objectives are met.
    4. Act as the primary point of contact for providing end-to-end solutions to clients, facilitating smooth coordination within the company and with external stakeholders such as ports, customs, and other authorities.
  2. Team Management:
    1. Lead and oversee the operations team, including the team based in India, ensuring alignment with company objectives and operational goals.
    2. Ensure the team is adequately trained and equipped to meet client demands, while fostering a culture of teamwork, accountability, and continuous improvement.
    3. Monitor team performance and productivity, providing feedback and recommendations for process enhancements.
  3. Customs Clearance & Documentation Management:
    1. Oversee the timely and efficient processing of all customs-related documentation, ensuring compliance with relevant authorities - ports, customs, agents, shipping lines, etc.
    2. Ensure that all internal documentation such as CLSS sheets and invoices are accurately updated, ensuring error-free processing and timely communication with stakeholders.
    3. Administer key financial tasks, ensuring the collection of payments from clients, ports, and customs is completed on time.
  4. Reporting & Internal Coordination:
    1. Provide regular weekly and monthly reports to management, including actionable recommendations and insights for operational improvements.
    2. Ensure smooth coordination between various departments (Accounts, Transportation, Customer Service, etc.) to guarantee effective service delivery to clients.
    3. Maintain a close relationship with the team in India to ensure all operational goals are met and any challenges are addressed promptly.
  5. Client Relationship Management:
    1. Maintain close communication with clients, ensuring that their needs are met and any issues are addressed in a timely manner.
    2. Ensure that client satisfaction is continuously monitored and maintained through proactive service delivery and regular feedback.
    3. Take ownership of critical decisions regarding the operational process, ensuring cash collection, settlements, and the documentation process are executed efficiently.
    4. Identify potential risks in operations and escalate them to management with appropriate recommendations for mitigation.
Desired Candidate Profile

Qualifications and Knowledge: Bachelor’s degree in Logistics, Operations Management, or a related field.

Key Contacts:
  1. Internal: All departments, including the team based in India.
  2. External: Vendors- clients, ports, customs, shipping lines, and other relevant authorities.
Job Skills:
  1. Strong managerial and leadership skills to effectively manage the internal team and the external team.
  2. Expert planner with attention to detail. Analytical, communication, time management, and organizational skills.
  3. Strong problem-solving skills.
  4. Ability to coordinate with multiple stakeholders and prioritize tasks effectively.
  5. Ability to work under pressure and meet deadlines in a fast-paced environment.
  6. Proficiency in logistics software e.g., FRESA. Understanding of customs clearance processes and documentation.
