Role Overview
The System Implementation and Document Control Manager will be responsible for leading the implementation of new systems, ensuring compliance with existing systems, and managing a dedicated team of document controllers. The ideal candidate will ensure that all project and corporate documentation is managed accurately, easily accessible, and compliant with company procedures. This role involves training and supporting internal teams, consultants, and contractors on system use and troubleshooting.
Key Responsibilities
- Lead the implementation and integration of new document management systems or related software across the organization.
- Ensure adherence to established systems and document control procedures throughout all real estate development projects.
- Manage, mentor, and supervise a team of 5-8 document controllers to maintain high standards of accuracy, consistency, and efficiency in document handling.
- Oversee the filing, storage, and archiving of all documents ensuring they are organized and retrievable in a timely manner.
- Conduct regular audits and spot checks to ensure compliance with document control policies and identify areas for improvement.
- Develop and deliver training programs for document controllers, consultants, contractors, and internal employees on system functionalities and best practices.
- Provide hands-on troubleshooting support and act as the primary point of contact for document management system issues.
- Collaborate closely with project managers, legal, compliance, and IT teams to streamline document workflows.
- Continuously assess and recommend improvements to document control processes and systems for increased efficiency.
- Ensure confidentiality and security of all company documentation in accordance with corporate policies.
Skills
Qualifications & Experience
- Bachelor’s degree in Business Administration, Information Management, Engineering, or a related field.
- Proven experience (5+ years) in document control and system implementation within real estate development.
- Strong leadership and team management skills.
- Experience with document management systems (e.g., Aconex, Procore, SharePoint, or similar).
- Excellent organizational skills with a keen eye for detail and accuracy.
- Ability to conduct training and support diverse teams effectively.
- Strong problem-solving skills and ability to troubleshoot system issues.
- Good understanding of compliance, regulatory requirements, and best practices related to document control.
- Excellent communication and interpersonal skills.
