Position Overview
The Operations Supervisor plays a key role in overseeing and supporting the daily operations of TÜV SÜD’s Academy Training Business. This position supervises the operational team across multiple functions including trainers management, training logistics, product support, and documentation. The Operations Supervisor ensures that all training programs are executed efficiently and in compliance with TÜV SÜD standards. This role requires strong coordination, leadership, and problem-solving skills to ensure the highest level of service delivery to clients and trainers.
Key Responsibilities: 1. Team Leadership & Coordination- Lead and supervise the operations support team responsible for:
- Trainers Management (onboarding, coordination, evaluation follow-up)
- Training Logistics (venue setup, materials, vendor communication)
- Product Management Support (course material follow-up, version control)
- Documentation and Certification coordination
- Delegate tasks and monitor execution to ensure timelines and quality standards are met.
- Act as the primary contact point for daily operations between internal teams, trainers, and vendors.
- Support the Operations Manager in implementing operational plans, procedures, and improvements.
2. Training Delivery Support
- Coordinate all logistics for in-house and public training programs including trainer scheduling, material preparation, and venue readiness.
- Ensure trainers receive all necessary materials, briefings, and onboarding before delivery.
- Maintain a real-time training calendar and ensure all logistics align with planned sessions.
3. Trainers and Vendor Management
- Supervise communication and scheduling of freelance and in-house trainers.
- Ensure trainers are onboarded and briefed in line with TÜV SÜD guidelines.
- Support contracting, invoice follow-up, and performance evaluations.
- Liaise with vendors to ensure timely delivery of printed materials, equipment, and venue services.
4. Documentation and Quality Control
- Maintain structured records for all trainers, outlines, materials, and evaluations.
- Ensure training files are audit-ready and aligned with ISO and TÜV SÜD requirements.
- Collect and summarize training feedback and trainer performance reports.
- Support internal audits and quality assurance checks across operations.
5. Operational Reporting & Communication
- Prepare periodic reports on training delivery status, trainer utilization, and client feedback.
- Highlight risks or process delays to the Operations Manager with suggested mitigation actions.
- Communicate updates and best practices to team members, ensuring alignment and transparency.
Key Deliverables
- Well-coordinated and on-time training delivery across all formats and locations.
- High trainer and client satisfaction with operational support and logistics.
- Accurate and compliant documentation for internal and external review.
- Effective leadership and supervision of the operations support team.
- Timely communication with trainers, vendors, and stakeholders.
Qualifications
- Diploma or Bachelor’s degree in Business Administration, Operations, or related field.
- 8–10 years of experience in training coordination or operations, including team supervision.
- Prior experience in the training, education, or professional services industry is preferred.
