JOB PURPOSE

Follow-up on the daily section activities and perform administrative duties for the Manager – Maintenance Inspection governance, Supervise and Monitor all Inspection and maintenance departments via field inspections to ensure its effectiveness and efficiency in terms of compliance to the Policies, and issuing the necessary reports in this regard to contribute to strategic decisions at the RTA level

Key Results Accountabilities

  • Conduct field inspections to ensure the compliance of the RTA Departments with the Maintenance and Inspection Policies
  • Develop and supervise the field inspection plan for all RTA Departments to monitor their physical and operational status
  • Prepare reports, and Review reports drafts, and make the required edits on the reports required from the section manager
  • Reviewing and Supervision the defect reports on MAXIMO to ensure the compliance of RTA departments with the Policies
  • Prepare and register all external correspondences daily and ensure sending them with the representative on daily basis
  • Prepare circulars and correspondences in response to all the assigned matters, forward all correspondences received to the concerned sections and ensure dispatched without delay, close any assigned and pending issues in EMS (Tarasul) in addition to prepare monthly progress EMS report.
  • Perform other responsibilities related to the position as appropriate
  • Coordinate with the concerned department to provide the necessary requirements (PC, Phone, employee cards, health cards and others)
  • Prepare and enhance power-point presentations for all the section’s reports and for the section’s achievements
  • Enter the permission and absence remarks in the Time and attendance System and prepare monthly reports
  • Assistance and guide to employees in using department systems (Tarasul, CRM)
  • Maintain an adequate inventory of office supplies and place the necessary procurement orders as per the department requirements
  • Attend Department meetings and prepare minutes of meetings, in addition to follow up with the concerned to ensure assigned tasks are completed as per the management instructions
  • Ensure compliance with organization requirement within the department
  • Follow-up and reply to all forwarded suggestions and complaints and ensure closing all suggestions and complaints as per the SLA set.
