ROLE OBJECTIVE
The Student Support & Admin Officer supports the Student Services & Admin Department in delivering high-quality, efficient, and effective services to enhance the student experience and the administrative operations. This role includes managing administrative, operational, and student-facing tasks, ensuring smooth processes across various stages of the student lifecycle. The ideal candidate will exhibit excellent organizational and communication skills, empathy, and a proactive approach to problem-solving. This role involves acting as a key contact point for students, assisting with their academic and administrative needs, and ensuring the smooth operation of day-to-day office functions.
DUTIES AND RESPONSIBILITIES
Student Support:
- Assist with pre-arrival processes, including document collection, visa application support, and logistical arrangements to ensure a seamless onboarding experience for new students.
- Coordinate with the visa department, provide regular updates on visa progression, inform students of their visa status, and manage document digitization for visa renewals and cancellations.
- Support the orientation and registration process by guiding and onboarding new students, ensuring smooth integration into the institution.
- Respond promptly to student inquiries regarding services, policies, and academic concerns, ensuring accurate information and resolution of issues.
- Follow up with absentee students per institutional intervention strategies, update attendance reports, and ensure timely issuance of student IDs to all eligible students.
- Prepare, distribute, and maintain records of student letters such as NOCs, RTA, and bank account letters, as well as manage forms for cancellations, postponements, and other requests.
- Collaborate with HR to resolve medical insurance issues for students and communicate updated insurance details as needed.
- Provide initial counselling to students facing wellbeing challenges, guide them on psychological needs, and refer them to professional counsellors for additional support.
- Assist in planning and organizing student activities, events, and trips, ensuring effective communication to drive participation and engagement.
- Maintain accurate records for all processes, align student records across systems, submit student engagement calendar budgets, and undertake additional tasks as assigned while maintaining confidentiality.
Administrative Duties:
- Maintain accurate and up-to-date student records and databases.
- Prepare reports, letters, and documentation as required.
- Assist in the preparation and coordination of class schedules and room bookings.
- Provide administrative support to academic and management staff.
- Coordinate with the finance and admissions teams for student fee tracking and registration status.
- Manage filing systems and ensure confidentiality of student information in compliance with data protection policies.

QUALIFICATIONS
• Bachelor’s degree in business administration, Social Sciences, or related fields (preferred).
• Relevant professional qualifications in student support/administration are an advantage.
• Proficiency in Arabic is an advantage.
