Job description

Heriot-Watt is entering an exciting phase in the development of its professional services. We have centralised and re-aligned our recruitment and Admissions Teams in Edinburgh and are embarking on a journey to develop a new structure for our Dubai Campus and recruitment hub.

Reporting to the Student Recruitment Manager, the successful candidate will coordinate and deliver activities that enable Heriot Watt Dubai to meet its recruitment targets for UG, PG, and research degrees. The Student Recruitment Officer will deliver customer-facing events, both on and off campus, and provide customer service activities for prospective students, promoting the university in engaging ways. The role requires creativity in generating ideas for inspiring events and a proactive follow-up approach to convert prospects into enrolled students.

Based in the Student Recruitment Team at our Dubai campus, you will work to provide exceptional customer service to prospective students and applicants, guiding them from initial contact to enrolment. You will be the first point of contact for calls and emails, responding within set times, and using enquiry management and CRM systems effectively. Your passion for education and customer care, attention to detail, and self-starting attitude will support prospective students throughout their journey with Heriot Watt.

Summary of Key Duties and Responsibilities

You will be part of the team providing high-quality front-line service to all university enquirers. Your main duties include responding to inquiries, supporting prospective students, and assisting in delivering recruitment events under the guidance of the Student Recruitment Manager to meet recruitment targets.

Key duties and responsibilities:
  1. Act as an ambassador for the University to prospective students, parents, and other stakeholders.
  2. Assist in implementing a focused recruitment plan for the Dubai Campus, including campus open days, applicant days, postgraduate recruitment events, campus drop-ins, and external fairs.
  3. Help plan on-campus recruitment events, bringing ideas and feedback to improve future events.
  4. Attend regional recruitment fairs, providing information and guidance on programmes.
  5. Manage a calendar of recruitment events, enquiries, and bookings, coordinating pre-event and follow-up communications with the CRM team.
  6. Operate within budgets, maintaining records of expenditure.
  7. Oversee the design and printing of signage, displays, and promotional materials for recruitment events.
  8. Ensure statutory health, safety, and environmental legislation compliance during events.
  9. Manage the student ambassador scheme to staff events effectively and maximize enrolment potential.
  10. Establish and maintain contacts externally and with Schools and Services to maximize recruitment.
  11. Collaborate with the Marketing team to produce effective marketing materials for prospective students.
  12. Provide an excellent applicant experience, utilizing CRM to track engagement and optimize recruitment and conversion.
Education, Qualifications & Experience:
  • Strong literacy and numeracy skills or equivalent experience.
  • Experience in a similar multi-channel customer experience environment.
  • Proficiency in IT packages including Microsoft Excel, Word, and Outlook.
  • Excellent interpersonal skills.
  • Experience in face-to-face customer service and organizing recruitment or sales events.
  • Proactive, professional approach with attention to detail.
  • Understanding of working with confidential information.
  • Ability to work flexibly, adapt to new information, and solve problems creatively.
  • Proven provision of excellent customer service.
