Job Purpose
The Senior HR Assistant is key in managing HR processes related to government documentation, compliance, and regulatory procedures. They maintain efficient document systems, track visa renewals, security clearances, and Emirates IDs, ensuring timely and accurate processing. By coordinating between HR, government agencies, and internal teams, the role helps manage complex immigration and regulatory requirements, ensuring compliance and protecting the company from penalties.
Key Accountabilities
- Oversee the initiation, tracking, and completion of security clearance requests for new hires and role changes, ensuring accurate and timely submission of all required documents.
- Prepare and compile documentation for visa processing, renewals, cancellations, and residency applications, ensuring timely and precise submission of entry permits and related documents.
- Coordinate the processing and renewal of Emirates IDs for employees and JV partners, including management of medical screenings and Occupational Health Card (OHC) renewals.
- Manage the application, renewal, and cancellation of airport passes, ensuring full compliance with security requirements and maintaining through documentation.
- Collaborate with internal and external stakeholders, including PRO teams and government entities, to facilitate smooth processing of visas, clearances, and other government-related transactions.
- Process and reconcile payments related to government services in coordination with the Finance team.
- Ensure the secure handling, distribution, and tracking of critical documents, maintaining accurate records and adherence to government and internal policies.
- Maintain and update GRD trackers providing regular reports on clearance, visa, and document processing statuses with accurate and up to date.
- Identify process bottlenecks and potential risks to recommend improvements to streamline clearance, visa, and document workflows, while ensuring compliance with internal SLAs and UAE regulations.
- Manage vehicle and parking logistics, ensuring timely and efficient delivery of time-sensitive documents
Education Qualification:
a) Diploma in HR, Business Administration, or related field is a must
Work Experience:
- Minimum of 2 years’ experience in UAE government transactions (visas, EIDs, medicals, family visas).
Skills:
- Proficient in Microsoft Office Packages.
- Proficiency in UAE government portals (GDRFA, ICA, MOHRE).
- Well versed in English and Arabic languages (written and spoken).
- Strong planning and organisational skills with the ability to multi-task and manage time effectively.
- Demonstrated ability to maintain constructive relationships with others.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and attention to detail.
- Should be able to work effectively as part of a team.
- Act as a role model and provides effective behavioural examples to motivate team members to achieve high levels of performance.
- Problem-solving aptitude to resolve delays or discrepancies.
