Job description

Provides high-level administrative and operational support to the Noatum Ports office. Will be Responsible for maintaining and controlling the archiving of various critical documents, including concessions agreements, contracts, project documents, shareholder agreements, presentations, Memoranda of Understanding (MOU), and Minutes of Meetings (MoM).

Core Responsibilities

  • Maintain a comprehensive archive system for all company documents, ensuring easy retrieval and secure storage.
  • Manage the lifecycle of documents, from creation and revision to archiving and disposal, ensuring all documents are properly categorized and indexed for efficient search and retrieval.
  • Ensure all documents comply with company policies, industry standards, and regulatory requirements, maintaining document control processes and procedures to meet compliance and audit requirements.
  • Regularly review and update document control policies to reflect current best practices.
  • Maintain Noatum Ports shared drive folders and make sure all PIOC division upload all related documents properly.
  • Verify the accuracy and completeness of all incoming and outgoing documents.
  • Implement and manage document change control processes, ensuring document integrity and version control to prevent unauthorized changes and loss of information.
  • Collaborate with various departments to ensure document control needs are met and provide training and support to staff on document control procedures and systems.
  • Develop Noatum Ports corporate ports portfolios assets information and make available for management
  • Utilise document management software and systems to store and manage documents effectively, troubleshoot and resolve issues related to document control systems.
  • Monitor and support Noatum Ports subsidiaries document control process and ensure integration with Noatum Ports office.
  • Prepare dashboard and summary reports on documentation status.
  • Responsible for document control management system orientation for newly awarded contracts to contractors and consultants.
  • Assist the project team, supply chain and other project stakeholders with EDMS document submission for any upload/submission issues.
  • Provide support to Specialist - Business Support, providing high-level administrative and operational support to ensure the smooth functioning of the business.

Required Qualification:

  • Bachelor’s degree in Business Administration
  • Excellent English. Arabic is an added advantage
  • A minimum of 5 years of experience in a similar role
  • Preferred experience in document management within project delivery
  • Experience in electronic document management systems.
  • Detail-oriented and organized, with the ability to maintain accurate records and documentation.
