Job description

The Special Assistant to the Executive Director in our International Dubai office will act as a point of contact between the Executive and stakeholders, providing insight into the most essential projects. This role will be instrumental in assisting with the setup and initial activities of the office, serving as the right hand of the GED. You would be responsible for providing personal and professional assistance to the Executive and her Office, coordinating critical issues and driving strategic initiatives to achieve the objectives of the office.

Responsibilities

  1. Support the Executive Director in all aspects of setting up the family office, including establishing processes, systems, and protocols.
  2. Managing calendars, scheduling meetings, and handling correspondence on behalf of the Executive.
  3. Assisting with the implementation of key initiatives and projects to drive the family office's strategic objectives.
  4. Coordinating with external stakeholders, including legal and financial advisors, to facilitate the smooth operation of the office.
  5. Conducting research, preparing reports, Board documents, and creating presentations for the Executive.
  6. Acting as a liaison between the Executive and internal / external parties, ensuring seamless communication and collaboration.
  7. Develop and implement office policies, procedures, workflows and best practices to maintain a professional and organized work environment and ensure efficiency and effectiveness.
  8. Lead and manage special projects, initiatives, and events on behalf of the family office.
  9. Serve as a key point of contact for internal and external communications, including liaising with family members, advisors, and external partners.
  10. Ensure compliance with regulatory requirements, legal obligations, and internal policies. Provide leadership and supervision to office staff, including hiring, training, and performance evaluation. Support with other tasks as may be assigned. Travel as required.

Requirements

  1. The ideal candidate must have seven (7) to ten (10) years’ experience as an Executive Assistant to a C-level Executive.
  2. Must be eligible to work in Dubai (documentation, residency status etc.).
  3. Bachelor’s degree or a Master’s degree in business administration, finance or a similar field.
  4. Ability to handle sensitive/confidential information with utmost discretion and diplomacy.
  5. Critical thinking and problem-solving skills.
  6. Possesses data analytics, good business writing, excellent research and communication skills (both verbal and written).
  7. Excellent time, schedule management and organizational skills; must be committed to accuracy and attention to detail.
  8. Resilient with the ability to adapt quickly to changes in time frames and manage multiple priorities.
  9. Strong financial analysis skills and proficient in Microsoft Office Suite.
  10. Strong interpersonal skills with high integrity and ethical standards.
  11. Good stakeholder management skills and ability to take initiative.
