Currently, we are looking for a passionate and energetic Site Manager to be based in the Operations Team. In this role, the successful candidate will take full leadership, operational and financial responsibility for managing a safe, efficient operational standards and profitable site for the organization and the customer(s). To manage the change of mindset to Standardization and Continuous Improvement.
Key Responsibilities
Safety
- Analyse and understand health and safety related risks for our associates, take action to reduce or eliminate these risks according to a prioritized plan.
- Take full responsibility for managing and running a safe operation and driving a Safety-First Culture with all individuals on site by applying and improving the Safety Standards.
- Driving continuous improvement quarter-on-quarter by removing barriers to improved performance across the site where necessary.
- Leverage Behavioral Based Safety (BBS) program as a daily way to confirm behaviors and processes.
- Review incident investigations within the workplace, respond to escalated issues of non-compliance and ensure relevant safety regulations and procedures are adhered to.
Regulatory Compliance
- Maintain processes and required statutory qualifications to ensure compliance with all relevant regulatory and local legal obligations.
- Ensure the appropriate communication, understanding and compliance with all relevant DPDHL policies takes place.
- Review practices against the requirements of legal compliance regularly and implement a formal process to address any issues.
Security
- Ensure adequate security measures are in place to protect the site premises, including the safety of personnel, DSC assets and of the customer's product.
- Ensure an effective deployment of The DSC 6 Steps security framework across the site.
- Involve customers and employees in these activities to ensure awareness of all relevant risks, and an effective response to all threats is implemented in the site.
Process Framework
- Ensure a solid overall process framework is in place and operations are performing to their maturity potential in a simple and sustainable way.
- Ensure the relevant work instructions and standard operating procedures for the site are in place and are followed.
- Ensure there is a quality management approach in place that is in line with policy, is appropriate for the site and is effectively used.
- Maintain processes, work instructions and associated forms required for the site. Update and review them regularly to ensure they are appropriate for the site and obsolete documents are removed.
- Ensure there is an up-to-date annual training matrix / plan covering the identified needs of all individuals in the site and make sure there is an appropriate budget that enables the plan to be implemented.
- Ensure effective CAPA process is in place particularly for critical nonconformities, with actions taken to prevent recurrence and avoid cost of non-quality.
- Monitor and evaluate suppliers performance based on agreed requirements and initiate improvement actions when suppliers fall short of required performance.
- Analyse the risk of business disruptions to the site and identify appropriate business continuity procedures to minimize risks and limit the impact.
- Ensure adherence to customer and contractual requirements.
- Attend and participate on customer, regulatory and internal audits, working with relevant stakeholders to ensure an adequate action plan is implemented to resolve issues.
Customer Engagement
- Act as the first point of contact for the customer relating to site operation matters and build a good relationship to develop trust and ensure strong engagement.
- Conduct regular reviews (e.g. monthly) with customer on operational performance and delivery against the agreed KPIs.
- Identify and propose opportunities to grow the business with existing customers.
- Drive a continuous annual site improvement programme with key milestones to be assessed each quarter to support customer retention and loyalty.
- Support Business Development / Account Management on contractual and commercial issues and customer renewal planning.
- Ensure defined process exists to capture and record all customer non-contractual agreements, expectations, feedback and issues and regularly review with relevant stakeholders.
- Ensure the Customer Satisfaction Survey for the site takes place as scheduled. Define, agree and implement relevant actions to close gaps that have been identified.
- Support development of customer joint business plan and ensure execution of plan.
Resource Planning and Management (RPM)
- Manage the overall approach to resource planning and management, ensuring that processes are in place, teams are recruited, assessed, trained and resources are planned to meet the forecasted volume and managed to achieve optimum performance.
- Lead the teams to develop the most efficient operation possible with the use of RPM system functionality and reporting.
- Ensures all relevant training and qualifications are in place.
- Leads regular operational performance reviews with site supervisory and management team, with focus on profitability, overall efficiency of the site in line with targets and performance via Performance Dialogs.
- Conducts regular review sessions on site performance and profitability with sector GM/Director/VP operations.
- Establishes clear operational objectives and ensures lean and efficient organizational structure with a regular focus on site profitability and direct labor spend.
- Define clear roles and responsibilities of all employees and ensure they understand the organization (org chart, documented role profile).
- Provides feedback channels for employees (e.g. Performance Dialogue boards, daily briefing sessions, EOS) to enable active contribution to the improvement and development of the site.
- Ensures that sufficient infrastructure and maintenance plans are in place to support an efficient and effective operational setup.
Performance Management
- Responsible for the overall annual performance of the site, including achievement of agreed customer KPIs, delivering site budget, financial results and other internal KPIs (eg. safety, operational, employee related etc.).
- Report data accurately and on time.
- Conduct regular performance reviews and coaching with direct reports.
- Ensure direct reports appraise their team members and approve the performance ratings of the reviews, ensuring overall consistency across the site.
- Translate agreed high level objectives into specific and actionable site plans and manage the implementation.
- Build and manage relationships with both internal and external service providers developing an annual action plan to ensure operational performance and productivity is improved across the site.
- Ensure timely reporting processes are in place and corrective actions are taken for performance deviation(s) against the annual plan.
- Ensure results are effectively communicated at every level, according to KPI’s tree definition.
Site Development Plan
- Own the annual Site Development Plan and deliver agreed actions, engaging relevant stakeholders to improve the overall site maturity, performance and productivity.
- Ensure effective completion of Site Development Plan actions by following the Management Review Process, with personal accountability for those tasks in the plan with 12 month target completion times.
First Choice: Continuous Improvement
- Identify and deliver improvements opportunities using First Choice Way tools in the operation, focusing on delivering continuous improvement to improve annual gross profit.
- Identify and follow up on opportunities to improve effectiveness and efficiency of all processes; integrate into Site Development Plan and engage all site employees in improvement activities.
- Run an annual evaluation through the First Choice assessment tool to drive the continuous improvement pipeline.
- Analyse the environmental impact of the business activities and engage in continuous improvement action to increase environmental efficiency of the site.
- Ensure that employees are aware of and contribute to the agreed environmental improvement activities.
- Ensure the effective use of and perform Gemba Walks and Performance Dialogues to identify and implement areas for improvement.
Job Skills, Qualifications & Experience:
- Intermediate educational level.
- All Licenses and trainings operating on that site or area (i.e. LSHC requirements, sector, or dangerous goods, etc.).
