The Service Contract Executive will manage the complete administrative lifecycle of automotive service contracts. This includes contract creation, maintenance, pricing updates, transfers, terminations, reinstatements, refund payouts, and ongoing support for branch teams. Accuracy is essential because contract data, parts pricing, service costs, and margin calculations directly affect customer commitments and business revenue. The successful candidate will work closely with Aftersales, Finance, Fleet, Pricing, and Branch Operations teams to maintain reliable data and prevent revenue leakage.

Key Responsibilities

• Service Contract Creation and Maintenance
• Create service contracts for new BYD vehicle models and aftersales programs.
• Review and update existing service contracts when vehicle, pricing, or business requirements change.
• Configure appropriate service schedules, parts requirements, labour costs, and contract conditions.
• Maintain complete and accurate contract records throughout the service contract lifecycle.
• Create and administer service contract arrangements for corporate and fleet customers.
• Verify that contract information aligns with approved commercial and operational requirements.
• Ensure contract changes are supported by the appropriate records and approvals.
• Maintain consistency across service contract templates, pricing structures, and system data.

SAP IS-AUTO Administration

• Create, maintain, and update service contract information in SAP IS-AUTO.
• Verify the accuracy and completeness of vehicle, customer, pricing, and contract data.
• Investigate system discrepancies and coordinate timely corrections.
• Process service contract transfers between eligible vehicles or customers.
• Complete contract terminations and reinstatements according to approved procedures.
• Process refund payout requests accurately and maintain the required supporting documentation.
• Monitor data quality and resolve incomplete, duplicated, or inconsistent contract records.
• Support branches with SAP-related contract enquiries and transaction requirements.
• Follow internal controls governing system access, approvals, and data processing.

Pricing and Cost Management

• Maintain service contract parts pricing and associated cost structures.
• Review retail selling price and net selling price information.
• Calculate gross margins and assess the financial impact of proposed pricing.
• Support the preparation of commercially viable service contract prices.
• Update pricing when parts costs, labour rates, service intervals, or program requirements change.
• Assist with corporate pricing requests and specialised fleet contract proposals.
• Review pricing data for accuracy before contracts are released or updated.
• Identify pricing inconsistencies that could affect profitability or customer commitments.
• Contribute to pricing initiatives supporting new products and business programs.
• Work with Finance and Pricing teams to validate assumptions, costs, and margins.

Contract Requests and Branch Support

• Respond to contract-related enquiries from branches accurately and within agreed time frames.
• Guide branch employees on contract processes, eligibility, pricing, and required documentation.
• Review submitted requests before processing transfers, cancellations, reinstatements, or refunds.
• Coordinate with relevant departments when requests require additional clarification or approval.
• Maintain professional communication with branches and provide clear status updates.
• Help resolve contract issues that could delay customer service or vehicle delivery.
• Support consistent service contract practices across participating branch locations.
• Escalate complex or high-risk cases to the appropriate stakeholder.

Reporting and Business Insights

• Generate regular and ad-hoc reports covering contracts, pricing, costs, margins, and operational performance.
• Analyse contract data to identify trends, discrepancies, and improvement opportunities.
• Prepare reliable information to support management decision-making.
• Use Microsoft Excel to organise, validate, reconcile, and analyse high volumes of data.
• Use business intelligence tools to create reports and communicate relevant findings.
• Monitor contract activities that could contribute to revenue leakage.
• Highlight unusual transactions, pricing gaps, or data-quality concerns.
• Support audits and internal reviews by providing complete contract records and reports.

Cross-Functional Coordination

Ideal Profile

Bachelor 's degree or diploma in business administration, automotive studies, finance, accounting, or a related field.

Automotive qualification or relevant industry experience is preferred.

Minimum three years of experience in service contracts, pricing, aftersales administration, or a comparable role.
