Provide comprehensive administrative support to the sales team, ensuring timely processing of MIS reports, corporate reports, etc., to deliver efficient service to customers.
Job Outline:
- Create, consolidate, and update various reports related to sales, travel agents, corporate clients, and market information to enable Management to make informed decisions. Develop more efficient and faster ways of working.
Liaise with various departments, including Sales, Tariff, Marketing, Procurement, Maintenance, Mercator, Pricing, and others, on a range of administrative matters related to the needs of the Sales department to ensure the smooth functioning of the section.
- Coordinate all corporate deals by ensuring they are in the desired format. After acquiring fare approvals from Pricing and Tariff, prepare and dispatch the contracts on time. Ensure that the deals are renewed or revised when required and filed appropriately so that an up-to-date contract can be easily retrieved.
- Acknowledge all CIP (Carrier Identification Plate) requests from travel agents upon receiving approval from Management. Ensure that Credit Control receives the bank guarantee, and communicate with the Planning and International Industry Affairs department. Inform the sales staff, ASU, and travel agents about the release of the CIP.
- Input, constantly update, and maintain records of all BSP and SSI requests. Receive approval from Management, Planning, and International & Industry Affairs, and provide timely feedback to the sales staff and travel agents.
- Coordinate all BSP investigations by following up with sales staff and travel agents, consolidating reports, and ensuring that deadlines set by Planning, International & Industry Affairs are met.
- Provide administrative support to all sales staff by drafting high-quality letters when required, maintaining and updating various databases, thus enabling the sales staff to spend more time proactively.
- Correlate on behalf of Management, Sales, Tariff (ASU), and others, on updated fare lists, discounts, and grievances to ensure better customer service. Coordinate with Marketing for timely deposits of brochures, fliers, posters, and other materials for the sales team to enact timely deliverances in the market.
- Record the minutes of the section meetings to ensure that the decisions taken are complied with.
Qualifications & Experience:
12 years schooling or equivalent. Experience in administrative roles within the sales department of an airline. Skills include proficiency in computer applications such as MS Excel, MS Word, Access, PowerPoint, email and internet usage. Demonstrated ability to work independently with minimal supervision, along with strong communication skills in both written and spoken English.
