A leading events management firm in Abu Dhabi is seeking a candidate to analyze tenders, maintain client communication, and prepare proposals. The ideal candidate will have strong communication skills and experience in managing supplier negotiations. This role is essential for ensuring deliverables meet client expectations and project deadlines.
1.Tender Review : Analyze the assigned Tender / RFP and formulate appropriate and relevant queries to seek clarifications from the client, including branding guidelines, floor plans, previous client photos and technical aspects necessary for preparing a competitive technical and commercial proposal.
2.Client Communication : Maintain regular communication with clients to build strong relationships and gain a deeper understanding of their vision, quality and budget expectations.
3.Project Updates : Provide management with updates on received clarifications to initiate project design. Prepare a project Mood Board based on the clients requirement and project understanding, and through research based on their previous events.
4. Supplier Quotations : Obtain a minimum of three quotations from different suppliers for the same service.
5.Timeline and Strategy : Collaborate with management & Client to establish timelines and strategies for obtaining designs, technical specifications, and costs to ensure timely tender submission.
6.Team Delegation : Delegate responsibilities among team members in consultation with management to meet submission deadlines
7.Proposal Preparation : Prepare technical and commercial proposals for each assigned project, adhering to Class Act standards. Detail sizes and materials based on obtained technical specifications.
8.Cost Review and Negotiation : Review all provided costs for the commercial proposal, negotiate with suppliers to reduce costs. Proposal Submission : Submit technical and commercial proposals to the Head of Events for final review at least three days before the submission deadline. Upon approval, obtain final approval from management.
9.Client Facing & Networking Strengthen relationships with existing clients through regular communication and exceptional service.
