Job description

  1. JOB PURPOSE/SUMMARY:

The Senior Officer – Talent Acquisition & Emiratization is a pivotal role responsible for overseeing the end to-end recruitment process and ensuring a seamless onboarding experience for new joiners. This position involves coordinating with hiring managers, conducting candidate screenings, facilitating interviews, managing employment contracts, and orchestrating the onboarding process. The role combines recruitment expertise with onboarding coordination to guarantee a smooth transition for new employees into the organization.

2. KEY RESPONSIBILITIES AND ACCOUNTABILITIES

1. Recruitment:

  • Support Senior Manager/Manager (line manager) in the utilization of diverse internal and external channels and methodologies to source potential candidates, ensuring a comprehensive pool of qualified talent. Effective sourcing techniques enhance candidate attraction and selection, including the use of Applicant Tracking System (ATS) and Job Boards.
  • Conduct thorough initial screenings of candidates to validate qualifications and expectations, ensuring alignment with job requirements and organizational standards.
  • Endorse shortlisted candidates to hiring managers, collaborating closely to identify candidates for further selection stages.
  • Coordinate competency-based interviews with hiring managers and subject matter experts, ensuring HR representation and adherence to interview protocols.
  • Design and develop assessment tools for accurate candidate evaluation, especially for technical positions.
  • Document candidate evaluations, maintain assessment sheets, and facilitate final interviews with higher management if required.
  • Prepare total manpower cost analysis for selected candidates, obtain HR management approval, and prepare job offer letters.
  • Under the supervision of the Senior Manager/Manager (line manager), conduct Offer negotiations, address candidate questions, and finalize offer terms for successful candidates.
  • Initiate UAE government security clearance process for selected candidates and perform additional background checks when necessary.
  • Coordinate onboarding logistics, including laptop provisioning, employee badge issuance, workstation setup, and welcome pack distribution.

• Collaborate with the Onboarding Specialist to ensure seamless transition of candidate data and requirements for a smooth pre-onboarding process.

2. Onboarding:

  • Prepare and facilitate the approval of employment contracts for new joiners.
  • Coordinate onboarding arrangements with key stakeholders, including line managers, IT, Quality Assurance, Health, Safety & Environment (HSE), Legal or Ethics and Compliance, and HR units.
  • Conduct comprehensive onboarding sessions, facilitate company familiarization tours, and coordinate departmental orientations.
  • Guide new joiners through the Oracle-based Employee Self Service System, assisting with document completion and uploads.
  • Administer onboarding satisfaction surveys, analyze feedback, and ensure completion of onboarding checklists.
  • Collaborate with cross-functional teams to ensure a smooth transition from onboarding to the probationary period.
  • Maintain comprehensive and up-to-date onboarding records, track and monitor onboarding metrics, generate reports, and provide data-driven insights for continuous improvement.

3. Emiratization:

• Support the Senior Manager/Manager (Line Manager) and Head of HR & Admin in the development and implementation of strategies to attract, engage, and retain Emirati talent, aligning with the organization’s Emiratization goals. Collaborate with relevant stakeholders to ensure the organization’s commitment to this strategic initiative.

  • Relevant professional certification in HR or recruitment is a plus.

Minimum Experience:

• 3 to 5 years of experience in talent acquisition or recruitment roles with a focus on candidate selection, pre-onboarding, and onboarding coordination.

  1. Candidate Profiling and Assessment: Effectively evaluate candidates' qualifications and experiences during initial screenings. Conduct in-depth competency-based interviews to assess candidates' skills, behaviors, and attributes relevant to the job. Use a structured approach to identify candidates who align with job requirements and organizational expectations.

Interview Coordination: Coordinate interviews seamlessly, involving various stakeholders such as hiring managers and subject matter experts. Ensure scheduling and logistics for interviews are well-managed, enhancing the candidate assessment process.

Assessment Tool Design: Design and develop assessment tools tailored to specific roles, enhancing the quality of candidate evaluations. Implement additional tests, assignments, or exercises that accurately assess candidates' abilities and suitability for the position.

Documentation and Reporting: Maintain accurate records of candidate interactions, assessments, and decisions made throughout the hiring process. Generate comprehensive reports and assessments based on collected data to facilitate transparent and informed decision-making.

Negotiation Skills: Conduct effective negotiations with candidates to address questions, clarify terms, and finalize job offers. Promote transparent communication and mutual understanding, ensuring offer acceptance and candidate satisfaction.

Security Clearance Processing: Navigate government clearance processes efficiently to facilitate successful onboarding. Ensure compliance with security requirements, contributing to a secure and compliant onboarding process.

Background Checks: Perform comprehensive background checks, especially for critical positions, verifying qualifications, work history, and criminal records. Ensure thorough assessments to contribute to organizational security and compliance.

Onboarding Coordination: Coordinate onboarding logistics, including provisioning resources, conducting orientations, and facilitating a smooth transition for new employees. Collaborate with cross-functional teams to ensure consistent and effective onboarding processes.

MS Office Proficiency: Demonstrate basic proficiency in MS Office tools, including Word, Excel, and PowerPoint, for effective communication, documentation, and data analysis.

Oral and Written Communication: Communicate clearly and concisely, both orally and in writing, using the English language. Engage effectively with candidates and stakeholders, facilitating collaboration and conveying information accurately.

Assertiveness: Express opinions and recommendations confidently while respecting diverse perspectives. Contribute assertively to decision-making processes, ensuring effective outcomes.
